Position Overview
Avantax Planning Partners is in search of a Financial Planning Support Associate to manage client inquiries and correspondence efficiently. This role involves preparing comprehensive client review materials and reports. The Financial Planning Support Associate will play a crucial role in assisting with the management of client asset portfolios, brokerage, and insurance accounts, alongside performing all administrative tasks for designated Financial Planning Consultants (FPCs). The ideal candidate should be an independent, adaptable, and professional individual capable of making informed decisions. A proactive and organized approach with a keen attention to detail is essential.
Key Responsibilities
- Accurately prepare and review new account documentation in a timely manner.
- Organize and compile client review materials, meeting agendas, and weekly updates.
- Act as a liaison among internal departments to address outstanding issues for Financial Planning Consultants (FPCs), Certified Public Accountants (CPAs), and clients.
- Support FPCs with ongoing communication with CPAs, clients, and prospects regarding account statuses, reminders, and correspondence.
- Maintain and update the Client Relationship Management (CRM) database, including data entry and service requests.
- Process client requests related to new contributions and fund distributions.
- Engage with clients via phone and email to provide timely and accurate information to FPCs and CPAs, coordinating meetings and maintaining account records.
- Assist in training new Financial Service Assistants as required.
- Identify and recommend areas for process improvements to enhance office efficiency.
- Perform additional duties as assigned.
Qualifications
- High school diploma or equivalent is required.
- Associate degree (A.A.), two-year technical degree, or bachelor's degree is preferred.
- A combination of relevant experience and education may be considered in lieu of a degree.
- 2-5 years of experience in the Financial Services Industry or related administrative roles is preferred.
- Familiarity with CRM applications, such as Salesforce, is preferred.
- Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
- Prior experience supporting Financial Professionals is advantageous.
- Experience in a client-facing role is strongly preferred.
Certifications
- Possession of the Financial Paraplanner Qualified Professional (FPQP) designation is a plus.
Work Environment & Physical Demands
- Involves keying/typing, standing, and walking.
- Requires sitting for extended periods.
- Constant mental and visual attention is necessary; the work may be repetitive or varied, requiring continuous alertness in an office setting.
- The position is typically performed under comfortable working conditions, with minimal disagreeable elements.
- Adherence to company attendance standards is expected.
