The Receptionist, Client Relations is responsible for managing the organization's front desk and executing specific administrative tasks.
This position requires you to respond to all inquiries and concerns in a patient-focused, professional, and timely manner.

Your role in this capacity is vital to our collective success.- Answer the main telephone line promptly, courteously, and professionally; transfer or route calls; receive and relay messages.
- Welcome, assist, direct, and log all visitors appropriately.
- Sort incoming mail and distribute it to the relevant departments.
- Respond to correspondence as necessary.
- Prepare medical record requests for mailing.
- Maintain an inventory of office supplies and order as required.
- Submit work order requests and track their completion status.
- Update and maintain the organization's reference documents.
- Assist in preparing materials, templates, forms, presentations, etc.
- Manage special projects as requested.
- Schedule meetings and organize company activities/events.
- Process medical records requests for clients, attorneys, and insurance companies.
- Prepare documents, print, and scan as needed.
- Adhere to the Code of Conduct and Corporate Compliance Program.
- Perform other duties as assigned.
Qualifications:
High school diploma or general education degree (GED); or one to three months of related experience and/or training; or an equivalent combination of education and experience.
Preferred (not mandatory) experience with medical billing software and electronic medical records.
Proficient in Microsoft Office Suite or similar software.
Experience working with reports, spreadsheets, and Excel.
Strong problem-solving skills.
Excellent communication and customer service abilities.
Ability to manage multiple tasks simultaneously.
Strong organizational skills.
Familiarity with HIPAA (Health Insurance Portability and Accountability) regulations.
Language Proficiency:
Read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Write routine reports and correspondence. Speak effectively before groups of customers or employees.
Mathematical Skills:
Calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Apply basic algebra and geometry concepts.
Reasoning Skills:
Solve practical problems and address a variety of concrete variables in situations where only limited standardization exists. Interpret various instructions provided in written, oral, diagram, or schedule form.
Excellent technical and non-technical writing skills.
Exceptional telephone etiquette and customer interaction skills.
Strong organizational and process development capabilities.
