Job Summary:

The Rental Operations Coordinator plays a vital role in managing and processing rental/sales agreements, ensuring seamless dispatching and assignment of field teams with a strong focus on safety. This position requires full support of the company vision and team culture.

Key Responsibilities:
  • Customer Service: Book equipment orders for customers via inbound calls, providing exceptional service and answering questions about equipment and offering additional items.
  • Documentation and Shipping: Collaborate with the operations and sales teams to prepare documentation for customer contract setup, shipping, and returns.
  • Field Team Support: Distribute daily assignments to field teams, ensuring they have the necessary information to complete tasks efficiently.
  • Equipment Management: Ensure all returned and/or off-rented equipment is properly documented and maintained.
  • Inventory Management: Maintain accurate branch inventory of all equipment.
  • Quality Control: Track and manage the quality control of all equipment.
  • Team Support: Provide backup support to other team members in the office as needed.
  • Process Improvement: Suggest ideas and ways to improve branch efficiency.
  • Additional Responsibilities: Perform other duties as assigned, including occasional travel to other facilities (company-paid).
Equipment and Software Used:
  • Computer, telephone, and electronic office equipment.
  • MS Office Suite, with an emphasis on Excel.
  • Access to company internal systems, including Salesforce, SAP, Intranet, Descartes, bank websites, e-invoicing, and chat software.
Requirements:
  • College degree or equivalent experience.
  • 3+ years of experience in the rental industry, customer service, or billing, preferred.
  • 1-2 years of data entry experience.
  • Exposure to standard concepts of scheduling and dispatching.
  • Exposure to DOT and state-specific safety regulations, helpful.
  • Strong communication skills, both verbal and written.
  • Strong MS Excel experience, preferred.
