Key Responsibilities:
- Oversee and manage departmental operations, including reception duties, telephone systems, and mail handling.
- Participate in meetings and events, preparing minutes and summaries as needed.
- Gather and process resident documentation for certification and recertification.
- Maintain, verify, and report on data, statistics, and research findings.
- Assist in the collection of rent and manage the monthly certification process for residents.
- Draft, prepare, and respond to various forms of correspondence.
- Provide assistance to residents, families, business guests, and staff.
- Organize and maintain schedules and calendars.
- Develop and uphold an efficient filing system.
- Respond to inquiries and provide information about the organization.
- Conduct tours of the facility for prospective residents.
- Establish and maintain comprehensive records for residents and prospects.
- Assist in gathering information and scheduling admission interviews with potential residents and their families.
- Assess supply needs and requisition necessary equipment while following up on any issues.
- Request maintenance work orders as needed.
- Coordinate special events and activities.
- Create newsletters, flyers, and other materials using various software tools.
- Foster a positive customer service environment, emphasizing quality improvement, teamwork, and professionalism.
- Attend and engage in departmental meetings and training sessions.
- Promote and uphold the mission, vision, and values of Presbyterian Villages of Michigan.
Qualifications:
Education:
- High School Diploma or equivalent.
- Ability to follow both oral and written instructions, typically aligned with some college education or equivalent experience.
- Proficient in computer applications, including word processing, spreadsheets, and desktop publishing.
- Certification as a Certified Occupancy Specialist at HUD or MSHDA villages is preferred.
- Familiarity with affordable housing property management software is advantageous.
- Basic math skills consistent with some college education or equivalent experience.
Certificates & Licenses:
For HUD or MSHDA governed villages, obtaining a Certified Occupancy Specialist certificate is required within the first six months of employment.
Communication Skills:
Strong ability to communicate effectively and professionally with all levels of staff and visitors.
Experience:
- One to three years of relevant office experience or a combination of education and experience.
- Experience with subsidized programs such as tax credit/MSHDA, low income, and HUD is beneficial.
Technical Skills:
Proficient in Microsoft Office Suite, including word processing, spreadsheets, database management, and email communication.
