At ABS Kids, our Administrative Support team is crucial in fulfilling our commitment to positively impact the lives of children with autism spectrum disorder and their families. Each member of our team is devoted to delivering exceptional support to our direct care staff, who provide top-tier ABA therapy to our clients.

Key Responsibilities:

Reception Duties:

  • Welcome clients and ensure all necessary documentation is completed, including insurance verification and client photographs.
  • Conduct reminder calls one week prior to and the day before scheduled appointments.
  • Review client accounts for any missing documents and gather necessary information.
  • Manage rescheduling for cancellations and no-shows for assessments.
  • Conduct weekly inventory checks of office, kitchen, and cleaning supplies, as well as clinical requests.
  • Complete weekly order requests for supplies.
  • Communicate urgent needs to the office manager as required.
  • Maintain a tidy and professional atmosphere in the lobby and other areas of the ABA Therapy Center.
  • Mail necessary documents to clients as needed.
  • Respond to calls and emails from clients and staff as required.
  • Receive and log office supplies as they arrive.
  • Assist providers with inquiries or office-related needs.
  • Ensure daily distribution of mail.

Scheduling Duties:

  • Adjust Behavior Technicians' schedules in response to client cancellations.
  • Communicate schedule changes with supervising Behavior Analysts.
  • Oversee the tracking and administration of the cancellation policy.
  • Coordinate with Behavior Technicians regarding client rescheduling due to illness.
  • Ensure timely submission of PTO requests in the payroll system.
  • Generate weekly reports to monitor attendance of Behavior Technicians.
  • Conduct daily audits of unconverted appointments.
  • Adhere to HIPAA regulations and company policies.

Qualifications:

  • High school diploma or GED required.
  • 1-2 years of experience in a medical or administrative office setting preferred.
  • Strong professional communication skills.
  • Ability to multitask with a keen attention to detail.
  • Proficient in Microsoft Office and other computer applications.
