Position Overview


The Facilities Operations Specialist will support the Facilities Manager in overseeing daily operational activities for the client's property portfolio within the designated area.

This role involves collaborating with the Facilities Manager to address all maintenance requests from clients, ensuring prompt resolution of any issues that arise.

Additionally, the Facilities Operations Specialist is tasked with fostering strong relationships with internal clients and stakeholders. The role includes processing work order requests and ensuring they are resolved in a timely manner.

Key Responsibilities

  • Facilitate the coordination and management of the entire work order process from initiation to completion
  • Oversee vendor performance to guarantee services are delivered within established service level agreements (SLAs)
  • Work alongside the Facilities Manager to collaborate with various teams in managing regional vendors
  • Assist in the development and implementation of a standardized work order management process across teams
  • Build and maintain client relationships; partner with key stakeholders to create effective solutions for client challenges
  • Contribute to monthly reporting, forecasting, and asset management across all locations
  • Aid in the creation and execution of preventative and ongoing maintenance programs
  • Support the formulation of operational and capital budgets for the assigned properties
  • Assist in generating work order forecasts using historical and current data
  • Participate in regular client status meetings, as necessary
  • Maintain confidentiality of both internal and external information
  • Undertake special projects and additional responsibilities as required
Qualifications

Technical Skills:
Proficient in Microsoft Word, Excel, PowerPoint, and Outlook required

  • The Facilities Operations Specialist must thrive in a dynamic environment, effectively prioritize multiple responsibilities, and consistently make sound decisions under pressure.
  • Strong understanding of people management processes, including recruitment, performance evaluation, and recognition
  • Proven experience in building and developing a team, including structuring departments and resource allocation
  • Skilled in coaching and mentoring team members to achieve their full potential
  • Proficient in engaging teams through effective communication, processes, and personal influence
  • Bachelor's degree or equivalent experience in facilities management
  • Minimum of 3 years of experience in facilities management
  • Experience managing multiple vendors for daily work order management and various capital projects
  • Strong client relationship management abilities
  • Excellent communication and organizational skills
  • Trade experience is preferred
