Key Responsibilities:

The Parts Coordinator will be responsible for a variety of tasks, including but not limited to:

  • Posting parts to work orders accurately.
  • Entering work orders into the fleet maintenance management system.
  • Creating and processing purchase orders within the fleet maintenance software.
  • Handling all shipping and receiving tasks, both domestically and internationally, as necessary.
  • Identifying part numbers and providing detailed descriptions to assist fleet maintenance technicians in sourcing or ordering parts using software and catalogs.
  • Monitoring daily fuel readings and communicating them to fuel vendors.
  • Transmitting daily fuel delivery receipts to clients.
  • Ordering parts for inventory, out-of-service vehicles, or special requests.
  • Managing and processing parts cores as required.
  • Collaborating closely with the Maintenance Manager to maintain optimal inventory levels and ensure necessary parts are available.
  • Conducting cycle counts, inventories, and obsolete parts surveys as directed.
  • Working with vendors to ensure pricing and efficiency are optimized.
  • Maintaining organized and complete files.
  • Submitting required reports accurately and punctually.
  • Overseeing departmental assignments to ensure timely completion.
  • Assisting the Parts Manager in managing departmental finances within the approved budget.
  • Ensuring the parts system adheres to standards acceptable to the division and clients.
  • Performing other duties as assigned.

Qualifications:

  • High School diploma or equivalent is required.
  • Experience with bus parts is preferred.
  • A clean driving record and a reliable employment history with a focus on attendance and punctuality are essential.
  • Familiarity with company policies and procedures is necessary.
  • Applicants should maintain a neat appearance and demonstrate a willingness to collaborate with contractors, manufacturers, vendors, and the public.
  • Proficiency in MS Office, client software, and other relevant applications is required.
  • Excellent organizational skills are a must.
  • Attention to detail is critical.
  • Strong written and verbal communication skills are necessary.
  • Proficiency with Google Drive is required.
  • Maintaining an acceptable attendance level is essential.
  • A safe, clean, and professional work environment must be upheld.
