Job Title: Unit Program Coordinator

We are seeking a highly skilled and experienced Unit Program Coordinator to join our team at Ignite Fueling Innovation. The Unit Program Coordinator will serve as a vital administrative support role within the Air Force, assisting assigned squadrons in managing, tracking, and coordinating key administrative programs.

Key Responsibilities:
  • Oversee and manage the squadron's administrative programs, including personnel actions, training records, and deployment schedules.
  • Track squadron compliance with mandatory administrative tasks and coordinate necessary updates with leadership.
  • Ensure all key administrative programs are executed within required deadlines.
Administrative Support:
  • Provide direct administrative support to the Squadron Commander and senior leadership team.
  • Prepare and review correspondence, briefings, and reports to ensure accuracy and completeness.
  • Manage the squadron calendar, including meetings, training events, and appointments, ensuring proper coordination and communication.
Data Management and Reporting:
  • Maintain accurate and up-to-date records on squadron personnel, training, evaluations, awards, and deployment statuses.
  • Utilize Air Force systems (e.g., MILPDS, DTS, AMS) to input and retrieve personnel data and produce reports.
  • Prepare monthly and quarterly reports to brief leadership on the status of squadron programs and compliance metrics.
Personnel Accountability and Record Management:
  • Track personnel accountability, ensuring accurate in-processing and out-processing of squadron members.
  • Ensure all personnel documentation is filed and managed in accordance with Air Force standards and privacy regulations.
  • Support personnel evaluation processes by tracking deadlines and ensuring timely submission of Officer and Enlisted Performance Reports.
Training Coordination:
  • Coordinate squadron training requirements and ensure all personnel are compliant with mandatory training schedules.
  • Maintain detailed records of training completion and assist leadership in tracking individual readiness and certification statuses.
Communication Liaison:
  • Act as the primary point of contact for squadron personnel regarding administrative processes, training updates, and policy changes.
  • Coordinate with base agencies and higher headquarters to ensure alignment with current regulations and processes.

Requirements:

  • Secret Clearance
  • Undergraduate degree in related field
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Familiarity with Air Force administrative systems such as MILPDS, DTS, AMS, and AEF Online preferred
