Job Summary
The Office Manager role at ESFM involves providing exceptional support to customers by resolving complaints and managing requests related to office operations. This includes setting up and supporting regular meetings, distance-learning conferencing, and large event functions. The Office Manager works closely with the customer and helpdesk employee to ensure seamless execution of facility tasks in accordance with established service level agreements.
Key Responsibilities:
- Set up, operate, and troubleshoot audio/video systems and computer-related equipment.
- Establish videoconference, webcast, and LiveMeeting connections for end-users.
- Coordinate scheduling and execution of PMs for mechanical systems and low voltage components.
- Maintain service schedules and detailed records of A/V maintenance.
- Liaise with customers and helpdesk employees regarding additional/modified requests.
- Provide communication with customers via text, email, signage, posters, or face-to-face contact.
- Submit facilities-related issues through the Finance Direct work order database.
- Act as primary contact for office emergencies and participate in drills and actual emergencies.
- Work closely with local site representatives and management to understand their needs and demands.
- Perform checks of rooms/meeting rooms and the level of cleanliness of the office environment.
- Identify opportunities for service improvement and development within the office environment.
- Survey buildings/floors for head counts to identify trends in occupancy census.
- Manage the setup and breakdown of tables and chairs in meeting rooms.
- Handle receipt packages and deliveries to the building.
- Provide support with small projects as directed by supervisor.
