Job Title: Human Resource GeneralistJob Summary:

The Human Resource Generalist will oversee the daily administration of benefit programs, leave of absence processes, and serve as the primary point of contact when the HR Manager is out of the office. This role ensures compliance with all federal and state regulations, including FMLA, COBRA, ERISA, HIPAA, ADA, ACA, and workers' compensation.

Key Responsibilities:Benefit Administration:
  • Administer health, life, and disability insurance, flexible spending plans, and other benefit programs, including enrollment, reconciliation, and broker communications.
  • Serve as the primary contact for 401(k) plan inquiries, including enrollments, plan changes, and contribution details.
  • Process and manage workers compensation claims, employee assistance program (EAP), and short-term/long-term disability plans.
  • Lead the annual benefits review process, assessing programs for compliance, financial impact, and competitiveness.
  • Ensure employee benefits communications are timely, accurate, and accessible.
Leave of Absence & FMLA Management:
  • Handle the end-to-end administration of FMLA leave, from initial request to return to work, ensuring all paperwork is complete and compliant.
  • Oversee short-term disability (STD) processes.
  • Maintain ongoing communication with employees on leave and provide them with regular updates on their status, rights, and responsibilities.
  • Coordinate return-to-work processes with the leadership team.
Compliance & Audits:
  • Ensure compliance with all applicable laws, including FMLA, COBRA, ACA, HIPAA, and ERISA.
  • Perform regular benefits audits, including 401(k) audits, to ensure data accuracy and compliance.
  • Conduct I-9 verifications and manage E-Verify processes for new hires.
  • Administer ACA filings and conduct 5500 audits as required.
Employee Support & Communication:
  • Provide timely responses to employee inquiries regarding benefits, leave, and HR policies.
  • Assist with the creation of benefit communications and manage the Open Enrollment process, including employee training on benefit offerings.
  • Manage the Employee Navigator platform for benefits and termination processes.
Payroll & Reporting:
  • Ensure accurate payroll deductions for benefits, 401(k) contributions, and other employee benefits.
  • Ensure accurate payroll deductions for Credentials for Traditional and 1099 staff.
  • Coordinate with Human Resources Manager to manage benefits catch-up payments for employees returning from leave.
  • Create and maintain HR SOPs and ensure all new hire documentation is completed and uploaded in the system.
  • Prepare and submit regular reports, including new hire, termination, and census files for Human Resources Manager.
Project Management & System Optimization:
  • Support and manage HR projects, such as open enrollment, health fairs, and wellness initiatives.
  • Identify and implement workflow improvements through automation, working with HRIS and external vendors.
  • Manage the HR Hiver Box, responding to all requests promptly and thoroughly.
Requirements:
  • Strong knowledge of employee benefits and leave management, including compliance with ERISA, COBRA, ACA, FMLA, and other applicable regulations.
  • Proficiency in benefits administration platforms like Employee Navigator and HRIS systems.
  • Excellent organizational and time management skills.
  • Ability to maintain confidentiality and handle sensitive information with professionalism. Excellent verbal and written communication skills.
  • Strong analytical skills, including proficiency in Microsoft Excel for reporting and audits.
  • Ability to travel for meetings at other locations, up to 1 week every month.
Qualifications:
  • 3+ years of experience in benefits administration, including FMLA, ACA, and 401(k) management.
  • Associates degree in Human Resources or related field; equivalent work experience may be considered.
  • Knowledge of federal and state regulations affecting employee benefit programs. Experience with HRIS platforms and payroll integration.
