Job Overview

Position Summary: The Creative Production Coordinator plays a pivotal role in overseeing the execution of all creative assets for our clients. This position involves setting timelines, monitoring project progress, and managing relationships with print service providers to ensure timely delivery of materials for Major Donor Events (MDEs).

Key Responsibilities:

The following are essential duties typically performed by a Creative Production Coordinator:

  • Collaborates with the creative team to initiate the flow of creative materials through the organization from inception to completion, ensuring timely delivery to clients. Monitors deadlines for creative projects and keeps the team updated on any unforeseen delays, adjusting priorities as necessary to support client and team success.
  • Facilitates the assignment of writing and design tasks to team members using project management tools. Creates project timelines, manages workloads, reviews schedules, routes deliverables to internal stakeholders, and modifies task lists as needed to ensure on-time delivery.
  • Maintains relationships with printing partners by providing project specifications, requesting and preparing print estimates, establishing delivery timelines, tracking project progress, and resolving any issues that arise.
  • Identifies and selects print vendors based on project requirements, ensuring alignment with the needs of each assignment.
  • Oversees the approval process for digital and physical printer proofs, ensuring corrections are made as necessary. Establishes and maintains quality control standards for all printed materials.
  • In collaboration with client service team members, develops and monitors production schedules for the creative team.
  • Conducts weekly internal team meetings to track ongoing projects and foster collaborative decision-making.
  • Engages in brainstorming sessions with writers, designers, and client service team members to create innovative production solutions for event invitations and other materials.
  • Stays informed about trends in the printing industry and recommends innovative production methods suitable for client projects.
  • Reviews and approves invoices for creative partners and vendors, including those related to copywriting, proofreading, design, printing, and postage, as necessary.

Work Schedule: This is a part-time position, approximately 24 hours per week (3 days). This role is designed to be performed remotely.

Qualifications:

  • Minimum of 4 years of experience in deadline management, production support, or a related field, ideally within an advertising agency or creative environment.

Skills Required:

  • Excellent verbal and written communication abilities.
  • Strong command of English grammar, punctuation, and spelling.
  • Outstanding attention to detail in a fast-paced environment.
  • Exceptional time management capabilities.
  • Ability to manage a diverse range of projects with varying deadlines while tracking essential details.
  • Proficiency with Google Suite.
  • Familiarity with Adobe Workfront is advantageous but not mandatory.
  • Basic understanding of design or the creative process is beneficial but not essential.
  • Self-motivated with the ability to work independently to meet deadlines and achieve results.

Education:

  • Bachelor's degree or equivalent professional experience.
