Key Responsibilities

PRIMARY DUTIES:

  • Collects, compiles, logs, posts, verifies, calculates, and files purchase orders, invoices, packing slips, and various documents associated with Accounts Payable and Student Organization transactions, including checks, cash, deposit vouchers, payment vouchers, and original invoices.
  • Maintains a comprehensive account of all Student Organization transactions using automated accounting software.
  • Interprets and conveys rules and regulations pertaining to Student Organizations to various departments.
  • Confirms vendor tax information and updates contact details as necessary, utilizing online resources for vendor information.
  • Processes employee reimbursements and annual IRS 1099 tax documents in accordance with federal regulations.
  • Handles cash receipts and updates deposit information for the accounting manager.
  • Manages the cancellation of purchase orders when required.
  • Inputs, prints, and processes both commercial and manual warrants.
  • Balances cash requirements and check register reports.
  • Prepares financial documentation related to warrants for submission to the County financial system.
  • Provides telephone support to District financial users.
  • Creates and maintains electronic spreadsheets for financial tracking.
  • Verifies District account numbers for accuracy.
  • Sorts and date stamps incoming mail.
  • Operates various office equipment, including personal computers, calculators, fax machines, and copiers.
  • Collects and accounts for school fees as necessary.
  • Reconciles bank statements to ensure accuracy.
  • Monitors encumbrance reports for outstanding purchases throughout the fiscal year.
  • Collaborates with departments and vendors to expedite order processing.
  • Works with vendors to receive, update, and rectify invoices.
  • Confirms vendor contacts and settlement billings for accuracy.
  • Prepares commercial warrant and revolving cash activity reports for presentation to the Board of Education.
  • Performs additional duties as assigned.
QUALIFICATIONS:

  • Minimum of two years of experience in managing financial or statistical records.
  • Ability to perform bookkeeping tasks of moderate complexity; to quickly and accurately post and calculate numerical data; to type and write clearly; to compare names and numbers with precision; to understand and follow both oral and written instructions; to operate office machinery, including computers; and to collaborate effectively with others.
  • Familiarity with the methods, practices, and terminology used in financial and statistical record keeping.
  • High school diploma or equivalent required.
