The primary focus of this position is to ensure that project specifications are initiated promptly to achieve both division and corporate cycle time objectives while overseeing the starts schedule. This role collaborates with construction teams, centralized scheduling, mortgage departments, and local authorities to collect all necessary information for commencing home projects.
Oversee the permitting process Appropriately coordinate and escalate warranty inquiries Manage the options program Ensure options are finalized prior to lot commencement Process and distribute all construction option orders Order samples for option programs per community Process and price late options Prepare option documentation for new communities Act as a liaison between sales, escrow, purchasing, and the execution of the options program while maintaining margin levels on all options Initiate the process for all homes approved for construction Monitor and manage the starts schedule, including permit status, lot details, and mortgage approvals while maintaining the starts calendar Request necessary documents and track pre-start cycle time milestones, plot plan applications, municipal applications, and any other requirements needed to complete the start process Gather permit options from the Sales team and prepare required permit documentation Review plot plans for accuracy before submission to local authorities Continuously monitor submitted permit applications across all communities and communicate permit status to the Production Manager, VP of Operations, and Construction Managers Manage consultants in preparing detailed community maps of starts, closings, plans, and elevations Provide estimates of permit fees to the Finance Department for budgeting purposes Ensure payment of all fees related to permitting, utilities, and re-inspections Prepare and process check requests for permits and Operations Departments Track review and approval of draft plot plans by Sales and Construction Managers Update the Division Starts Tracker with sales and permit status in coordination with the SCI Manager and VP of Operations Maintain multiple Excel trackers for sales, plots, permits, costs, option selections, etc. Communicate with various departments regarding the status of starts and items needed to complete packages, and upload relevant information to BuildPro, including notifying trades when information is availableWhen workload permits:
Provide administrative support and serve as a backup in purchasing, construction, and customer service office administration tasks Assist Purchasing & Construction with indirect budgets, billings/invoices, and administrative tasks Support the customer service department with customer warranty tracking tickets or other required assignments Maintain intra-department days-off and vacation schedules Resolve routine and complex inquiries from internal and external sources Handle administrative functions Compose routine correspondence, letters, and memos Maintain master print files for bidding Provide support for Area Managers Undertake special projects as assigned Required QualificationsHigh School diploma is mandatory Minimum of 3 years of experience in administrative support Experience in homebuilding is preferred Strong understanding of options selections and closing procedures Proficiency in Microsoft Windows and Microsoft Office (Word, Excel, Hyphen) Excellent oral and written communication skills Ability to manage multiple priorities and deadlines Strong attention to detail Company Overview
