The Administrative Operations Manager position is a pivotal leadership role within GWT's headquarters, tasked with guiding various support teams and overseeing the overall functionality of the main office.

Key Responsibilities:
  • Manage daily operations and performance of GWT's customer service, administrative support, and fulfillment teams, currently comprising over 7 employees.
  • Encourage a vibrant, high-performance, and collaborative team culture.
  • Establish, assess, and implement KPIs for the teams and processes under management.
  • Ensure precision and quality in all order entry and vendor purchasing activities.
  • Supervise customer and vendor onboarding procedures executed by the team.
  • Act as a point of escalation for team members in resolving customer, vendor, or order-related issues.
  • Oversee GWT's fleet management program in collaboration with the company's fleet management partner.
  • Collaborate with outsourced IT service providers for equipment procurement, setup, and ongoing employee support.
  • Manage GWT's mobile phone programs and related support.
  • Lead staff responsible for field support, including uniform program management, supply purchasing, and onboarding/offboarding processes.
  • Administer ongoing business registrations, licenses, regulatory filings, and other essential activities.
  • Work alongside executive leadership to formulate and implement a strategic plan for staffing and technology solutions that will bolster GWT's growth and operational needs.
  • Oversee daily staffing levels, phone routing, and after-hours phone services to ensure adequate coverage for inbound client and field employee communications.
  • Maintain and manage commercial and financial data within GWT's ERP system.
  • Assist in the setup of new products and the maintenance of product costs and pricing in the ERP system.
  • Support Finance and Accounting with general bookkeeping or reporting requirements as needed.
  • Supervise maintenance activities for the local office and warehouse when necessary.
  • Ensure compliance with document retention and confidentiality policies, identifying and addressing any potential audit or financial risks.
Qualifications:

Essential Skills:

  • Experience with ERP and/or accounting systems.
  • Several years of experience in administrative functions with a track record of managing at least 3-5 direct reports.
  • Outstanding team-building and communication abilities.
  • Highly organized multitasker capable of self-managing a team and their deliverables without constant supervision.
  • Proficient in computer usage, particularly with Microsoft Office applications, with advanced Excel skills required.
  • Successful completion of a background check and drug screening.
  • Valid driver's license.
  • Availability to work Monday through Friday for 40-50 hours per week during standard business hours.
  • Bachelor's degree.

Preferred Qualifications:

  • Experience in a manufacturing and warehousing setting.
  • Familiarity with Datacor ERP or Freshdesk.
  • Background in contact center operations.
