Job Description

Preferred Utilities Manufacturing Corporation is seeking a detail-oriented and proactive In-Office Project Coordinator to support various administrative and project management tasks.

The successful candidate will play a crucial role in ensuring the smooth execution of our projects by managing billing, order entry, service billing, inventory control, schedule coordination, and customer follow-up.

Key Responsibilities:

  • Billing: Issue CA invoices, follow up on internal requests, and ensure timely and accurate billing processes.
  • Order Entry: Enter all orders, including proposals, major jobs, aftermarket, and service orders, ensuring accuracy and timeliness.
  • Service Billing: Handle all billing activities related to the service side of the business, ensuring accuracy and promptness.
  • Inventory Control: Assist purchasing in ensuring all inventory is accounted for and properly located, maintaining accurate records and assisting in inventory audits.
  • Schedule Coordination: Monitor project schedules, work with the Project Manager to identify milestones, and ensure all deadlines are met and resources are allocated efficiently.
  • Project Assistance: Assist the project group with transmittals and closeout documents, ensuring all project documentation is completed and filed appropriately.
  • Customer Follow-Up: Conduct follow-up communications with customers to ensure continuous improvement, gathering customer feedback and relaying it to the appropriate departments.

Qualifications:

  • High school diploma or equivalent; associate or bachelor's degree in a related field is a plus.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Experience with project management software and ERP systems is a plus.
  • Ability to work independently and as part of a team.
  • Detail-oriented with strong problem-solving abilities.
