The primary objective of this role is to manage the financial contract and budget operations associated with the Magnet Schools Assistance Program (MSAP), specifically within the Project Revitalize initiative. Key responsibilities may encompass budget development and monitoring, processing purchase orders and invoices, payroll management, and drafting and reviewing contracts for services related to the MSAP Grant.
DUTIES AND RESPONSIBILITIES:
- Develop, assess, and oversee the budget and expenditures for the MSAP Grant.
- Support payroll-related functions associated with the MSAP.
- Procure materials and equipment for the MSAP Grant, including preparing purchase requisitions and obtaining cost estimates.
- Validate and process invoices for services contracted under the MSAP Grant.
- Investigate and respond to finance-related inquiries from school and departmental personnel.
- Compile and submit financial data pertinent to the MSAP grant to ensure compliance with required entities.
- Track grant status and expiration, recommending necessary actions to secure funding throughout the grant's duration.
- Engage in meetings with district, community, and grantor stakeholders.
- Assist in monitoring the inventory of equipment purchased through the Grant.
- Perform additional duties as assigned.
- Proficiency in analyzing expenditures and processing them under appropriate budget account codes.
- Capability to forecast budget expenditures, perform accurate reconciliations for encumbrances and expenses, and reconcile payroll.
- Effective communication skills, both verbally and in writing, with internal teams, external stakeholders, and contracted vendors.
- Ability to prioritize tasks in a fast-paced office environment.
- Competence in utilizing computers or electronic devices for scheduling, communication, and document preparation.
- Familiarity with software for data analysis, recording, and retrieval.
- An Associate's degree in business, finance, or accounting, or a high school diploma accompanied by six years of budgetary experience in an administrative office environment.
- Experience in payroll, accounts payable, or accounts receivable functions.
- Certification in Microsoft Excel is preferred.
SPECIAL KNOWLEDGE REQUIREMENTS:
- Understanding of basic accounting principles.
- Familiarity with grant regulations is preferred.
- Knowledge of office equipment such as copiers, printers, and fax machines.
- Awareness of common payroll policies and practices.
- Understanding of accounting practices necessary for budget development and maintenance.
- Experience with AS400 is preferred.
This position is funded through a grant initiative and may have the potential for continued funding based on available resources.
