Job Title: Client Services Coordinator

We are seeking a highly skilled and organized Client Services Coordinator to join our team at Knickerbocker Group Inc. As a key member of our Business Development team, you will play a critical role in supporting our sales and development efforts.

Key Responsibilities:
  • Screen and respond to new business leads, ensuring timely and proper communication with clients.
  • Brief the sales team on new leads during weekly client meetings, documenting sales lead assignments and providing administrative support throughout the sales process.
  • Track business development leads and client communications using various software and lead-tracking platforms, reporting metrics to company leaders.
  • Maintain awareness of open action items, providing reminders and support to sales leads to ensure timely execution.
  • Anticipate and communicate issues or delays to internal and external stakeholders, ensuring accurate and timely communication.
  • Attend new client meetings as needed, taking detailed process notes and communicating directly with clients throughout the pre-contract phase.
  • Manage scheduling and follow-up for business development team and new client meetings.
  • Prepare and edit correspondence, communications, presentations, and other documents for internal and client use.
  • File and retrieve documents and reference materials, maintaining an organized record of sales and pre-design activities.
  • Prepare binders and electronic folders documenting business development activities and communications for handoff to project leads.
  • Coordinate client contracts and deposits, reserving spots in KG's new project queue.
  • Collaborate with department leaders to establish and execute a proactive community engagement strategy, aligned with company mission, vision, and goals.
  • Identify and recommend participation in regional events, activities, and sponsorships, adhering to budget parameters.
  • Strategically network to generate leads and build relationships, attending meetings with team reps to offer support and represent the Company.
  • Conduct event and sponsorships/partnerships reviews, evaluating success through tracking and optimization tools, and recommending future participation.
  • Plan, maintain, and support the execution of a calendar of events and outreach activities, including KG-specific events and community events.
  • Work alongside the marketing department to coordinate innovative community education, informational materials, and outreach initiatives, communicating promotions via PR, digital, and print platforms, alongside internal communications.
  • Provide administrative support, organizing execution of community engagement events and serving as a liaison between the organization and various stakeholders.
Requirements:
  • Minimum 5 years of customer service and/or sales experience, preferably in real estate or luxury residential construction and design.
  • High school diploma or equivalent required; college degree preferred.
  • Excellent computer skills, including proficiency in Microsoft Office Suite and experience with customer relationship management platforms.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management skills.
  • Ability to maintain strict confidentiality regarding company and client information.
  • Self-motivation: ability to work well under pressure and with minimal instruction for routine tasks.
