Job Overview:

The Senior Executive Assistant provides exceptional, diversified, and confidential administrative support to a senior executive within the Company division. This role involves performing complex and technical tasks that require significant discretion and independent judgment. The position interacts with individuals at all levels of the organization, as well as external partners and clients, while managing highly sensitive materials.

Key Responsibilities:

  • Facilitates management details and acts as an intermediary for critical delegated administrative functions, relieving executives of various administrative duties.
  • May oversee administrative and support personnel across various offices.
  • Coordinates and manages high-level executive functions, exercising considerable independent judgment.
  • Assists with numerous confidential tasks, including early-stage merger and acquisition meetings and the organization of due diligence documents.
  • Prepares, formats, and distributes materials for Board of Directors and Committee meetings, including minutes and records.

Depth & Scope:

  • Prepares, edits, and types a variety of confidential documents, reports, correspondence, and statistical tables.
  • Answers telephone calls, screens inquiries, takes messages, and welcomes visitors.
  • Organizes mail and executive paperwork, directing it to the appropriate parties or responding independently as necessary.
  • Establishes and maintains highly confidential files and records.
  • Manages the office of a Senior Executive, requiring comprehensive knowledge of executive operations, policies, practices, and personnel.
  • Schedules appointments and coordinates arrangements for meetings, conferences, and travel itineraries.
  • Performs various tasks to conserve the executive's time, including personal business bookkeeping as directed.
  • Demonstrates a high level of tact and discretion due to frequent high-level internal and external contacts.
  • Researches information and prepares data and special reports, providing analysis and summaries.
  • Conducts assigned projects, such as coordinating regulatory examinations.

Education & Experience:

  • Associates degree and/or Bachelor's degree or equivalent progressive work experience.
  • 5-7 years of relevant experience.
  • Exceptional clerical and administrative skills.
  • Strong organizational skills with the ability to maintain focus and efficiency.
  • Excellent written and verbal communication skills, capable of interacting with all levels of the organization.
  • Proficient in PC skills, including spreadsheets, reporting tools, and presentation software.
