Role Overview
The Operations Support Specialist plays a crucial role in delivering operational and administrative assistance to the Operations and Transportation Departments, ensuring seamless daily operations. Key responsibilities include:
- Managing standard scheduling and creating compliant manifests to support client requests.
- Coordinating order creation, bills of lading, and manifest generation for both inbound and outbound shipments in a dynamic systems environment.
- Addressing client and off-site team member requests for print support, order creation, and scheduling of witnesses.
- Preparing, submitting, and tracking purchase orders while verifying invoice accuracy prior to payment processing.
- Maintaining open purchase orders using Excel for effective tracking.
- Providing timely updates and responses to inquiries.
- Fulfilling warehouse requests for labels and bills of lading.
- Participating in special projects within the Transportation or Operations teams as needed.
- Facilitating communication with clients, operations team members, vendors, and off-site personnel for coordination and scheduling.
- Ensuring the accuracy of all orders in internal systems and reviewing data for correctness.
- Updating Excel reports to monitor orders.
- Generating correspondence for clients and preparing internal memos as required.
- Performing other related tasks as assigned by management.
Qualifications
Basic Requirements:
- High school diploma or GED with a minimum of 4 years of experience in administrative support within warehouse or manufacturing settings, or an Associate's degree in business or accounting.
- Proficiency in data entry and manipulation using Excel.
Preferred Qualifications:
- Experience in transportation or logistics sectors.
- Familiarity with Microsoft Office Suite, including PowerPoint and Word.
- Strong attention to detail.
- Ability to utilize software for data manipulation and effective written communication.
- Service-oriented and team-focused mindset.
- Strong problem-solving capabilities.
- Effective communication skills in English, both written and verbal.
