Job Overview

PRIMARY RESPONSIBILITIES

  • Manage incoming calls to the healthcare unit, providing support to the administrative team.
  • Organize patient appointments for routine check-ups, follow-ups, and additional services.
  • Prepare necessary documentation for patient visits, including assembling and distributing informational packets.
  • Ensure that all administrative records are current and accessible, including patient education materials and necessary forms.
  • Assist with the urgent transmission of documents via fax and scanning as required.
  • Oversee and prioritize tasks within the administrative workflow.
  • Track automated appointment confirmations and update electronic medical records accordingly.
  • Draft and send correspondence to patients regarding missed appointments, lab results, and other important notices.
  • Provide administrative support to clinical staff and healthcare providers as needed.
  • Maintain cleanliness and organization within the healthcare unit.
  • Monitor inventory levels of administrative supplies and reorder as necessary.
  • Assist in troubleshooting telehealth appointments for both patients and providers.
  • Request and obtain external medical records as needed and liaise with health information management.
  • Utilize EPIC system access for real-time data management.
  • Prepare and facilitate outpatient discharge processes for care assistants.
  • Confirm with pharmacies regarding prior authorizations when necessary.
  • Reschedule patient appointments for providers who are unavailable due to various reasons.
  • Assist with patient check-out processes and follow up with those who may have missed this step.
  • Print necessary labels, visit summaries, and fax documentation to external specialists.

QUALIFICATIONS

  • High school diploma or equivalent.
  • Strong commitment to delivering exceptional customer service to patients and colleagues.
  • Ability to work independently while maintaining accuracy.
  • Capable of thriving in a fast-paced environment.
