Job Overview:
The Air Line Pilots Association, International (ALPA), the foremost airline pilot union globally, is seeking a dedicated Membership Administrative Analyst. This role is essential in our commitment to serving over 78,000 pilots across 71 airlines in the United States and Canada.

Key Responsibilities:
  • Respond to inquiries from pilots, elected officials, and airline representatives.
  • Analyze incoming data and determine appropriate actions.
  • Address questions related to pilot dues, insurance billing, and membership issues within set timeframes.
  • Document all correspondence related to membership inquiries in the pilot's electronic records.
  • Maintain communication with relevant parties to gather necessary information for timely responses.
  • Track and update the status of all inquiries received.
  • Ensure accurate maintenance of pilot demographic information.
  • Prepare necessary correspondence resulting from pilot interactions.

Administrative Duties:
The Membership Administrative Analyst will also:
  • Update pilot billing accounts in the Association Management System (AMS) for all Accounts Receivable activities.
  • Conduct annual earnings-file verifications and reconciliations.
  • Review accounts for agency fee objectors and process periodic rebate transactions.
  • Establish a follow-up system to ensure accurate and prompt processing of work.
  • Assist in maintaining the accuracy of membership and billing account information through regular report analysis.
  • Support other departmental functions as needed.

Qualifications:
  • Two years of college education with a focus on business administration or management is preferred; a high school diploma is required.
  • A minimum of two years of experience working with computer systems in a business context.
  • Experience in customer service or member support is essential.
  • Familiarity with an AMS, particularly Aptify, is preferred.
  • Proficiency in Microsoft Excel, Access, Word, and Outlook.
  • Strong interpersonal and communication skills, both oral and written.
  • Ability to engage professionally with various stakeholders.
  • Flexibility to work on short notice as required.
  • Solid mathematical skills are necessary.

Physical Requirements:
Individuals in this role must be able to:
  • Operate a computer and other electronic devices consistently.
  • Maintain a stationary position and move about the office environment.
  • Occasionally lift and retrieve items weighing up to 25 pounds.
