Job Summary

We are seeking a highly skilled and experienced OPG Program Specialist to join our team. The successful candidate will provide program support services in planning, coordinating, and implementing various court improvement programs, projects, and initiatives. This position will primarily support the Office of Public Guardianship.

Key Responsibilities
  • Coordinates and assists with various projects that focus on the work of the Office of Public Guardianship (OPG). Such projects may include research, studies, gathering information, identification of best practices, preparing reports, and maintaining program data.
  • Communicates and assists in developing and implementing program policies, standards, guidelines, and expectations; assists in monitoring compliance with internal AOC program policies, standards, and guidelines as well as statutory standards.
  • Assists senior OPG staff in managing and coordinating the program, including monitoring legislation related to the OPG.
  • Provides administrative support for the program, which may include preparing meeting agendas, attending meetings, and preparing/distributing minutes, preparing training materials, etc.
  • Responds to requests from the public for technical assistance, program literature, OPG referral process, and other information related to the program.
  • Assists in the review of program referrals. Performs initial eligibility screenings and follows up/requests additional information as needed.
  • Assists in developing and improving internal program processes and standardized forms to allow for maximum effectiveness and efficiency of court program implementation.
  • Conducts research and collects qualitative and quantitative data on guardianship and the cost effectiveness of public guardianship services.
  • Assists in the recruitment of new contractors. Provides administrative and technical support to contractors.
  • Assists in coordinating OPG financial budgeting, monitoring, and oversight. Assists with reviews of monthly invoices and logs contractors' reimbursement requests. Reports discrepancies to senior program staff.
  • Assists in case management, including reviews of court pleadings, reports, case notes, and caseload monitoring. Enters data into program database.
  • Assists with the planning and coordinating of CPGC trainings offered by the OPG.
  • Updates and maintains information on OPG website.
  • Designated positions provide administrative support to judicial and court associations, which may include making arrangements for conference training and meeting facilities; arranging for and monitoring billings, fees, travel expenses, and other financial transactions related to conferences, meetings, and programs; preparing agendas and meeting notices; attending meetings and preparing and distributing minutes.
  • Assists with various projects that include conducting studies, gathering information, staffing committees, and preparing narrative reports, memoranda, and presentation/training materials.
  • Assists in developing and enhancing internal business processes to allow for maximum effectiveness and efficiency of court program implementation.
  • Communicates and assists in developing and implementing program policies, standards, guidelines, and expectations; assists in monitoring compliance with internal AOC program policies, standards, and guidelines.
Requirements
  • An Associate of Arts degree in court, public, or business administration, social services, or a related field.
  • Four (4) years of administrative program support experience.
  • Advanced skills in using office software.
  • Ability to learn and use new computer applications as needed.
  • Knowledge of website navigation, searches, and content updating functions.
  • Knowledge of grammar, spelling, clerical procedures, correspondence, report writing.
  • Accuracy and attention to detail in the delivery of work products.
  • Communication skills both orally and in writing.
  • Understands customer expectations and ensures work meets those expectations.
  • Professionalism in dealing with clients, staff, management, and the public.
  • Ability to establish and maintain effective working relationships with governmental and court officials at all levels.
  • Ability to multi-task and effectively work on multiple projects simultaneously.
  • Sets priorities and effectively manages time to meet deadlines and work schedules.
  • Accepts personal responsibility for the quality and timeliness of work.
  • Ability to independently coordinate projects with minimal supervision.
