Job Overview

Position Summary: The following statements aim to outline the general nature and level of responsibilities associated with this role. They are not intended to be an exhaustive list of all tasks performed by individuals in this classification.

Key Responsibilities:

  1. Facilitates patient care coordination, including the scheduling of appointments for practice visits and treatments in alignment with physicians' schedules while adhering to established policies and procedures.
  2. Coordinates outpatient tests and procedures as necessary.
  3. Handles patient registration duties, which include entering and verifying patient demographics and insurance details. Secures necessary referrals and authorizations as required, ensuring accurate documentation within the Electronic Medical Record (EMR) system.
  4. Creates, prepares, and manages outgoing referrals.
  5. Provides patients with Facility Fee Disclosures, estimates of charges, and relevant education as appropriate.
  6. Prepares after-visit summaries, informing patients about upcoming appointments, schedule changes, co-payments, and essential insurance information.
  7. Offers information to patients, family members, and referral sources regarding hospital policies, available programs, wayfinding, and parking.
  8. Demonstrates the ability to multitask in a fast-paced environment while maintaining professionalism, flexibility, and an organized workspace.
  9. Assists with tracking and ordering office supplies.
  10. Utilizes a multi-line phone system and software in a call center setting, effectively managing internal and external calls related to patient care coordination, including scheduling and canceling appointments, verifying demographic information, and efficiently entering documentation within the EMR system.
  11. Participates in mock, regulatory, and accreditation surveys.
  12. Performs routine clerical tasks such as photocopying, filing, faxing, maintaining records, handling phone messages, and facilitating communication between clinicians, administrative staff, and patients.
