Job OverviewWe are seeking an experienced administrative support professional to join our editorial team in New York. As the successful candidate, you will be responsible for providing high-level administrative support to our journalists, editors, and other stakeholders. Your expertise will ensure the smooth operation of our department, allowing our team to focus on producing exceptional content.
The ideal candidate will possess 7+ years of proven administrative experience, with a strong background in office administration, clerical tasks, and project coordination. Familiarity with WSJ Editorial Page is highly desirable, as is knowledge of current events and trends in the industry.
You will work closely with the Business Manager to handle various administrative projects, including answering phone calls, document scanning and printing, equipment maintenance, supplies, onboarding and offboarding employees, coordinating IT requests, and more. Additionally, you will assist the Books Editor and Book Reviews team with administrative and clerical tasks, such as invoice and contract management, correspondence, calendar management, travel booking, expense report preparation, shipping, and mail handling.
Key Responsibilities- Provide administrative support to the editorial team, including answering phone calls, responding to emails, and preparing correspondence.
- Assist the Business Manager with office administration projects, such as document scanning, equipment maintenance, and supplies.
- Manage freelance contributor payments and invoices in SAP.
- Coordinate travel arrangements, book hotels, and make reservations as needed.
- Sort and deliver mail to the appropriate recipients in the office.
- Act as the department liaison with IT to facilitate onboarding and offboarding activities.
- Communicate and collaborate with team members to ensure seamless maintenance of office operations.
To succeed in this role, you will require:
- 7+ years of proven administrative experience.
- Strong teamwork and collaboration skills.
- Excellent verbal and written communication skills.
- Able to prioritize jobs, manage time, and work independently.
- Familiarity with using video conferencing.
- Ability to communicate effectively and appropriately with a professional demeanor when dealing with VIP guests of the editorial board.
- Concur, Excel, SAP, Zoom, and proficiency in G-Suite (Gmail, Google Calendar scheduling, Google Drive, Google Docs & Sheets, etc.) Adobe Sign.
We offer a comprehensive and highly competitive benefits package, including physical health, retirement and savings, caregiving, emotional wellbeing, transportation, and other benefits. Our salary range for this position is $85,000 - $100,000 per year, commensurate with experience.
