Job Description

**Position Overview**

The Property Management Associate provides exceptional property management services and supports the Property Manager and property management team with day-to-day responsibilities, including Accounts Receivable & Accounts Payable, office administration, customer service, and tenant and vendor relations.

Key Responsibilities:

  • Administrative duties, including timely and accurate processing of Accounts Payable and Accounts Receivable.
  • Assist with monthly reporting in real estate software, such as Yardi or MRI, and Microsoft Office applications.
  • Communicate with tenants, vendors, and building guests in person, via phone, or email.
  • Schedule vendor, tenant, and leasing appointments.
  • Deliver exceptional customer service through the tenant experience.

Essential Functions:

  • Answer telephone calls and screen calls for appropriate personnel.
  • Write up messages and deliver messages to personnel or voice mail.
  • Greet guests and notify personnel of incoming visitors.
  • Accept deliveries and packages.
  • Check Answering Service messages each morning and write up and deliver as necessary.

Additional Responsibilities:

  • Receive work order requests by phone or in person.
  • Write up work orders, communicate with building engineers, and distribute to building engineers/janitorial.
  • Write up Security work orders and give to Security Guards.
  • Maintain office files of reports.
  • Accounts Payable duties, including coding invoices and verifying proper backup.
  • Follow established Accounts Receivable guidelines, including preparing and sending late letters on a monthly basis.
  • Prepare and send default letters when necessary.
  • Prepare paperwork for lockouts as needed.
  • Refer accounts to Collections as necessary.
  • Prepare deposits, take to bank for deposit, and enter into system.
  • File office documents as necessary.
  • Prepare Lease Termination Forms and Write-off forms as necessary.
  • Create Vendor Files.
  • Maintain Certificates of Insurance for vendors/tenants.
  • Schedule building activity, including move-ins and move-outs.
  • Verify insurance.
  • Provide administrative support for Property Management team as directed.
  • Administer Property Management Team tenant amenity and third-party service provider on-boarding process.
  • Respond to tenant requests and complaints regarding the tenant experience.
  • Assist in planning and executing tenant events with management team.

Qualifications:

  • Bachelor's Degree preferred.
  • 3-5 years' experience in management or a similar/related industry, including prior administrative or office management experience.
  • Strong verbal and written communication skills, with prior experience communicating with tenants and/or vendors in a professional, courteous environment.
  • Proficiency in Microsoft Office, particularly Excel, and previous experience using real estate software.
  • Basic accounting knowledge and skills, along with strong mathematical aptitude.
  • Good organizational skills.
  • Attention to detail.
  • Desire and ambition to learn and grow in Stream's property management department.
