Career Foundations is seeking a High-Level Administrative Assistant to provide high-level administrative assistance to the Executive Leadership Team. This role requires strong interpersonal skills, with the ability to build relationships across all levels of the organization and with external stakeholders.

The ideal candidate will have 7-9 years of experience in administrative support roles that involve multitasking and organizational responsibilities. They will be customer-focused, action-oriented, and results-driven, with the ability to make independent decisions using sound business judgment.

Main Responsibilities:

  1. Administrative Support - Provide high-level administrative assistance to the Executive Leadership Team, including preparing and drafting correspondence, reports, and presentations.
  2. Policy Development and Maintenance - Assist in developing and updating administrative policies and procedures in coordination with leadership.
  3. Prioritization and Project Management - Manage competing priorities, resolve issues proactively, and ensure the successful completion of projects.
  4. Meeting Coordination and Facilitation - Coordinate and facilitate meetings and events led by the Executive Leadership Team.
  5. Research and Support for Strategic Initiatives - Lead high-level projects, conduct research, and provide administrative support for strategic initiatives.
  6. Agenda and Report Development - Develop, format, and distribute agendas, reports, and presentations for internal and external meetings.
  7. Committee and Board Support - Support committee and board functions, including the planning of annual meetings and events.
  8. Logistics and Administration - Oversee subscriptions, mail processing, and apparel orders for the board and executive team.
  9. Document Management - Ensure legal documents are properly signed, notarized, and distributed in a timely manner.
  10. Communication and Customer Service - Manage incoming calls and inquiries, providing general information and resolving issues as needed.
  11. Supervision and Scheduling - Supervise administrative staff and coordinate schedules as required.
