GENERAL PURPOSE:
Under the direct oversight of the City Clerk, this role is accountable for routine administrative tasks and office operations, utilizing independent judgment, initiative, and discretion based on established office policies and procedures. Responsibilities include aiding in the issuance of registrations and licenses while maintaining exceptional customer service standards, attention to detail, and proficient computer skills.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Assist in the issuance of Business Registrations and Licenses.
- Generate violation notices for the Municipal Regulation Specialist, collect necessary signatures, and ensure timely mailing.
- Manage calendars for the Municipal Regulation Specialist, providing reminders for follow-ups related to inspections and court matters.
- Track and update the status of cases on the Municipal Regulation Specialist's trackers.
- Process payments and issue animal licenses.
- Maintain and suggest revisions to code ordinances as necessary.
- Oversee daily operations of business licensing and enforcement, ensuring compliance with relevant codes and ordinances.
- Continuously monitor and revise the City's business licensing ordinances, recommending changes and drafting proposals for the Mayor and City Council.
- Coordinate the assessment and collection of fees for new, renewal, and delinquent licenses and permits.
- Collaborate with other municipal departments, such as Fire, Police, Code Enforcement, Planning, and Zoning, regarding business operations.
- Provide explanations of licensing procedures concerning building codes and zoning requirements to current and prospective business owners and the public.
- Assist the public by answering inquiries regarding zoning, land use regulations, building permit applications, and development review processes.
- Help the public complete forms, permits, and applications, ensuring their accuracy and completeness.
- Perform other related duties as required.
- Understanding of government organizations and departmental functions.
- Experience and training in established procedures.
- Familiarity with departmental policies and operations, with the ability to make decisions accordingly.
- Capability to establish and maintain effective working relationships with colleagues and the public, exercising good judgment and courtesy.
- Proficiency in basic computer software and office equipment.
- High School diploma or GED required.
- Three (3) years of clerical experience.
- Any combination of education and experience that provides the necessary knowledge.
- Possession of a valid driver's license.
- Ability to pass drug testing.
Familiarity with common office equipment, including computers, calculators, copiers, fax machines, and postage machines.
