Customer Care Associate (Branch Operations)

Position Summary

The Customer Care Associate plays a vital role in ensuring the smooth operation of the local branch office while delivering exceptional customer service through effective communication, problem resolution, and streamlined processes. This position requires onsite presence.

Key Responsibilities

  1. Respond to incoming calls from patients and referral sources regarding new orders and ongoing service inquiries.
  2. Make outbound calls to confirm order receipt, clarify documentation needs, discuss insurance benefits, schedule appointments, and conduct wellness checks.
  3. Review and process incoming faxed orders, determining necessary actions.
  4. Collaborate with back-office teams to ensure timely order processing.
  5. Work closely with the Sales team to gather complete and accurate documentation in compliance with payer and regulatory requirements.
  6. Welcome and assist walk-in customers with their needs.
  7. Support the coordination of patient education sessions, including preparation of instructional materials.
  8. Conduct equipment downloads as directed, ensuring compliance with competency requirements.
  9. Manage requests for audits and documentation as needed.
  10. Collect payment and billing information when necessary.
  11. Order office supplies and maintain inventory as required.
  12. Perform additional duties as assigned.

Qualifications

Education and Experience

A high school diploma or equivalent is required. A minimum of two years of experience in an office setting is preferred.

Skills and Abilities

  • Excellent organizational skills.
  • Strong customer service and problem-solving capabilities.
  • Effective communication skills, both verbal and written.
  • Ability to work collaboratively within a team environment.
  • Proficient in multitasking and managing priorities.
  • Familiarity with Microsoft Office applications.

Physical Requirements

This position involves a mix of sitting and standing, with occasional lifting of items up to 50 lbs. It requires repetitive motions, effective communication, and the ability to focus on detailed tasks.
