Key Responsibilities:
1. Welcome patients and their families, manage appointment scheduling, and coordinate hospital and outpatient admissions/procedures, ensuring timely actions are taken.
2. Answer incoming calls promptly, addressing callers' needs effectively, directing calls appropriately, and taking accurate messages for the relevant individuals while demonstrating professional telephone etiquette.
3. Schedule follow-up appointments, tests, and referrals as directed by physicians.
4. Maintain communication resources, including on-call schedules and physician contact information.
5. Prepare charts for new patients, ensuring all necessary forms are correctly filed and converted from temporary to permanent records by the end of the day.
6. Request medical records and prepare charts to provide physicians with all required information prior to patient visits, evaluations, procedures, or treatments.
7. Print essential medical records information from electronic systems if physical charts are unavailable.
8. Reconcile daily encounters in accordance with established policies and guidelines.
9. Monitor supply inventory and manage requisitions for supplies, forms, equipment, or services.
10. Perform various clerical tasks, including faxing, photocopying, filing, and mailing.
11. Obtain, verify, and update patient information while maintaining confidentiality in line with policies.
12. Accurately complete all necessary forms for patients.
13. Respect patient rights by knocking before entering rooms, addressing patients by name, and identifying oneself.
14. Foster and maintain positive working relationships with physicians and nursing staff.
15. Safeguard the privacy and confidentiality of both patients and employees.
16. Communicate any issues, equipment concerns, or problems promptly to the Nurse Manager.
General Responsibilities:
1. Demonstrate proficiency in booking and scheduling inpatient, outpatient, and specialized procedures.
2. Arrange for specialty equipment and services as needed.
3. Interact with external vendors and contracted services.
4. Understand the submission of necessary documents for hospital procedures.
5. Articulate the process for collecting pre-admission testing data.
6. Exhibit knowledge of insurance and pre-certification requirements.
7. Organize and distribute schedules effectively.
8. Maintain office supplies and equipment.
9. Provide training to other office personnel.
10. Log surgical procedures accurately.
11. Maintain the scheduling system, demonstrating knowledge of rescheduling and canceling procedures.
12. Employ customer service skills to alleviate patient anxiety.
13. Exhibit strong customer service skills in interactions with colleagues.
14. Compile and submit relevant information.
15. Communicate repair requests to appropriate personnel.
16. Exercise sound judgment in scheduling procedures to enhance physician productivity.
17. Understand fire safety and emergency protocols.
18. Perform other duties as assigned.
Qualifications:
1. High School Diploma or GED required; Associate Degree preferred.
2. Heartsaver certification within 30 days of hire.
3. Previous experience as a Patient Service Representative or in an office setting preferred.
4. Strong communication skills in English, both verbal and written.
5. Excellent interpersonal and customer service abilities.
6. Accurate data entry skills are essential.
7. Ability to organize and manage multiple tasks efficiently.
8. Familiarity with medical office procedures and terminology preferred.
9. Basic computer proficiency is required; experience with Standard Office Technology in a Windows environment is preferred.
10. Familiarity with EHR, Practice Management Systems, and Departmental/Ancillary Systems is preferred.
Travel Requirements:
Ability to commute to various locations as necessary.
Compensation:
Hourly pay ranges from $22 to $27, based on industry standards and various factors, including years of experience and job location.
