ROLE OVERVIEW
The main responsibility of the Private Functions Coordinator is to support the Catering Office with administrative duties, assist in planning, and ensure complete satisfaction for members and guests during events. This position requires a proactive approach to office procedures, maintaining professionalism, and providing attentive service to all members and guests. The ideal candidate will be highly organized, capable of prioritizing tasks, meeting deadlines independently, and available to work occasional weekends and evenings. You will oversee all confirmation communications for private functions at our club, ensuring that guarantee counts, final room layouts, and other details are secured promptly. Additionally, you will update the Main Event Board and daily change sheets. You will assist in preparing budgets and delivering progress reports to the Director of Private Events. It is essential to uphold safety practices when managing and executing events, particularly concerning capacity limits for each private function space.
KEY SKILLS
- Ability to handle multiple events simultaneously in a dynamic environment.
- Outstanding hospitality skills, excellent communication abilities, and a genuine passion for serving members and guests.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Experience with NorthStar or Delphi is advantageous.
- A minimum of 2 years of experience in Private Events, Event Planning, or hospitality.
- A Bachelor's degree in Hospitality Management or a related field is preferred.
- Relevant industry experience in catering and private events.
This full-time position typically follows a Monday to Friday schedule, with occasional weekend shifts.
