To qualify, candidates should possess prior experience in a medical or healthcare environment, ideally as a Medical Assistant.


The Healthcare Operations Supervisor will oversee the daily activities of the clinic, ensuring that our clients and patients receive prompt and courteous service while supporting the overall operational framework.


Praxis Health operates a network of Family and Internal Medicine clinics across the Portland-Metro area, along with a central support office. The supervisor will be accountable for the comprehensive management of clinic operations.


Key Responsibilities:

1. **Clinic Operations Management**
- Collaborate with management to oversee daily clinic functions.
- Monitor and control non-labor expenses to stay within budget.
- Evaluate operational systems, including communication, scheduling, and medical records, implementing necessary improvements.
- Discuss clinic systems, challenges, budgets, and objectives with healthcare providers as required.
- Conduct monthly departmental meetings and maintain accurate records of discussions.
- Participate in clinic and provider meetings on a monthly basis.
- Maintain professionalism in all interactions with patients, staff, providers, and external stakeholders.
- Supervise patient outreach and appointment recall processes.
- Oversee the management of patient information within the clinic.

Essential Functions:
- Supervise clinic personnel.
- Uphold performance standards for supervised staff, including evaluations, disciplinary actions, training, and development.
- Lead by example through expertise in daily operations.
- Delegate and monitor all office responsibilities effectively.
- Ensure timely staffing, training, and evaluation of employees in collaboration with management.
- Adhere to HIPAA policies and regulations to maintain patient confidentiality.
- Enhance job knowledge through educational opportunities and professional publications.
- Collaborate with other supervisors and management to facilitate cross-training and ensure effective inter-department communication.
- Maintain reliable attendance and presence at work.
Qualifications:
- Experience in scheduling and managing both front and back office operations.
- Knowledge of accounting, purchasing, and human resource practices.
- Familiarity with HIPAA, OSHA, and other relevant regulations.
- Proficient in Windows-based EMR software and MS Office applications such as Word, Excel, and Outlook.


- Detail-oriented with strong problem-solving skills, proactive planning abilities, and excellent organizational and communication skills. Experience in staff management is essential, along with the ability to manage workloads and empower team members.


**Education and Experience Requirements:**
- Minimum of 1 year of direct supervisory experience in a healthcare setting or equivalent leadership experience preferred.
- Medical Assistant certification is preferred.

Physical Requirements:


- Manual dexterity for operating office equipment, including computers and calculators; ability to stoop and bend to manage files and supplies; mobility for errands and deliveries; capacity to sit for extended periods.
