Job Title: Medical Administrative Assistant

Are you a highly organized and detail-oriented individual with excellent communication skills? We are seeking a Medical Administrative Assistant to join our team at the Medical Clinic Office.

Job Summary

The Medical Administrative Assistant will be responsible for maintaining day-to-day operations of in-office dispensing programs, including compliance, record management, inventory control, and billing. This role requires excellent verbal and written communication skills, as well as proficiency in Microsoft Office and Excel.

Key Responsibilities
  • Coordinate and complete setup and staff training for new accounts
  • Assist in coordinating new account openings
  • Complete periodic office visits to ensure record keeping, inspection documents, licensing, inventory control, and billing are in accordance with applicable compliance regulations and policies
  • Communicate regularly with the Business Development Manager on account status
  • Work with the Business Development Manager to convey changes in licensing, regulations, and inspections to account staff expediently
  • Cover technician staffing as necessary
  • Work with the Business Development Manager to ensure licensing is current and posted as applicable
  • Obtain missing information necessary for billing from the Electronic Medical Record, account staff, attorneys, and/or technicians as applicable
  • Monitor inventory to ensure adequate stock and help ensure compliance with required documents and record keeping for all controlled substances, including Schedule CII
  • Complete monthly checks for expired medications and do required paperwork and returns in a timely manner
  • Requires driving to account locations as well as some remote work
  • Respond to all communications in a prompt and professional manner
  • Submit expense reports in a timely manner
  • Submit weekly packets with records of office visits (remote and on-site)
  • Assist with IT issues for accounts when needed
  • Maintain adequate supplies for the home office and account backup
  • Complete additional duties and projects as assigned
Requirements

Prolonged, extensive driving, sitting, standing, walking, bending, and push/pulling are required. Must be able to lift up to 50 lbs. Repetitive hand motion, hearing, and visual acuity to perform tasks.
