Accounting Assistant

Essential Services of Oregon is seeking a highly skilled and detail-oriented Accounting Assistant to join our team. As an Accounting Assistant, you will play a critical role in supporting the financial operations of our organization.
Job SummaryThe Accounting Assistant will be responsible for assisting the Accountant in various aspects of financial processes, including bank reconciliations, maintaining company records, and preparing business taxes. This role requires strong communication and organizational skills, as well as the ability to work independently and as part of a team.
Key Responsibilities- Process new employee information into employee data trackers, health/dental/vision trackers, and 401(k) trackers.
- Process terminated/resigned employee information by removing it from employee data trackers, health/dental/vision trackers, and 401(k) trackers.
- Update benefit sites and PayChex Flex regarding terminated employees enrolled in health, dental, vision insurance, and 401(k).
- Provide explanations and maintenance of health, vision, dental insurance, and 401(k) benefits for all staff.
- Enroll employees in their choice of health, dental, vision insurance, and 401(k) in benefit sites and PayChex Flex.
- At the completion of each payroll cycle, input applicable data into the 401(k) fund, prepare and enter journal entries for insurance and garnishments into QuickBooks, enter all direct deposits, manual checks, taxes paid, and invoices related to payroll into QuickBooks.
- Prepare checks for signing for invoices due, PTO cash outs, and draws as needed.
- Reconcile all bank and credit card accounts on a monthly basis and prepare a report to review with the Accountant.
- Assist the Accountant with surveys required by the State of Oregon.
- Assist in the preparation of data for all tax filings as required by the IRS, the State of Oregon, and Yamhill County.
- Participate in the rotation of the Emergency After-Hours Phone, following the guidelines established within the Emergency After-Hours Phone Policy & Procedures.
- Perform other duties as assigned by the management team.
- Be at least 21 years of age.
- Successfully complete a DHS criminal history check.
- Be legally eligible to work in the United States.
- Demonstrate by background, education, references, skills, and abilities that he or she is capable of safely and adequately performing all tasks assigned.
- Have the ability and sufficient education to follow oral and written instructions and keep any records required.
- Have strong written and oral communication skills with clients, clients' family members, brokerage personnel, and Essential Services LLC staff.
- Exhibit responsibility, maturity, and reputable character exercising sound judgment with high ethical standards.
- Not be the spouse of any client that the employee works directly with.
- Have no substantiated abuse or neglect findings against them by DHS, CDDP, or other appropriate authority.
- Not be on the current Centers for Medicare and Medicaid Services list of excluded or debarred providers.
- Hold a valid driver's license and appropriate levels of auto insurance if driving as part of job duties.
- Excellent time management, organizational, coordination, and leadership skills.
- Good written and oral communication skills.
- Ability to communicate with clients, clients' families, those around them in the community, and Essential Services LLC employees.
- Excellent communication and interpersonal skills.

- Ability to effectively problem-solve.
- Ability to maintain confidentiality at all times for clients and employees.
- Detail-oriented.
- Ability to communicate with clients and employees through SMS, email, phone call, and in person.
- Experience and knowledge of QuickBooks.
- Experience and knowledge of basic accounting principles.
- Understanding of computers and software programs such as Microsoft Word, Microsoft Excel, Adobe Fill & Sign Google documents, Internet Explorer, Windows, phone-based applications, and E-mail correspondence.
- Ability to follow instructions and work independently, exercise good judgment, and prioritize daily tasks.
- Ability to work as a member of a team and work within the policies and procedures, vision mission, and core values established by Essential Services LLC.
