Key Responsibilities:

We are looking for a professional, enthusiastic individual with outstanding interpersonal and communication skills.   • Welcoming patients and managing their check-in and check-out processes.
  • Entering new patient data into our systems and verifying the accuracy of patient charts.
  • Collecting necessary signatures and processing payments.
  • Coordinating patient flow and assisting with appointment scheduling.
  • Maintaining patient records and performing various administrative tasks.

Specific Duties:

  • Greet each patient warmly and professionally.
  • Manage phone calls, schedule appointments, and handle referrals.
  • Take accurate messages and ensure timely follow-up.
  • Input complete patient demographics during appointment scheduling.
  • Review chart data for completeness and accuracy.
  • Monitor patient activity in the reception area and communicate effectively.
  • Collect patient payments proactively.
  • Update inventory on a weekly basis.
  • Always treat patients with respect and empathy.
  • Process inventory orders as needed.
  • Prepare end-of-day reports and balance payment totals.
  • Distribute incoming reports and correspondence appropriately.
  • Address all phone messages, faxes, and interdepartmental mail promptly.
  • Assist colleagues as required.
  • Perform additional duties as assigned by management.

Qualifications:

Education and Experience:

  • High School Diploma or GED (required).
  • 1-3 years of recent experience as a Medical Receptionist in a clinical or surgical environment (preferred).
  • Prior experience in a dermatological setting (preferred).

Skills and Abilities:

  • Exceptional customer service and communication skills.
  • Understanding of HIPAA regulations.
  • Able to manage multiple tasks efficiently.
  • Strong organizational and time management abilities.
  • Capable of thriving in a fast-paced and sometimes stressful environment.
  • Detail-oriented with a focus on accuracy.
  • Proficient in using multi-line phone systems.
  • Skilled in operating standard office equipment (e.g., computers, fax machines, copiers, scanners).
  • Intermediate computer skills and experience with EMR systems.
  • Fluent in English.
  • Able to sort and file materials accurately.
  • Willingness to travel to provide coverage for other local offices as needed.

Physical Requirements:

  • Ability to sit, stand, stoop, and reach as necessary.
  • Manual dexterity sufficient for keyboard operation.
  • Correctable vision to 20/20 and normal hearing range for telephone communication.
  • Ability to lift and carry up to 30 pounds.
