Mill Office Administrator

This role is responsible for providing administrative support to the mill by performing a variety of tasks, including clerical and administrative duties.

Key Responsibilities:

  • Act as the primary point of contact for visitors, directing them to the appropriate personnel and maintaining a visitor sign-in sheet.
  • Assist with new hire orientations and provide support to employees as needed.
  • Manage the front desk, answering the main telephone, transferring calls, and monitoring the front door.
  • Oversee the inventory of office and breakroom supplies, ensuring that necessary items are always available.
  • Manage the mailroom, sorting and distributing mail, checking for outgoing mail, and adding postage as needed.
  • Maintain the building's maintenance schedule, including cleaning, start-up, and shutdown of breakroom equipment, and conducting daily inspections to ensure the office is clean and organized.
  • Coordinate with cleaning contract services to ensure the office space is maintained.
  • Provide administrative support as needed, including scanning, copying, filing, mass mailings, and special projects.
  • Manage record retention, labeling boxes, and maintaining files with location and destruction dates.
  • Coordinate in-house meetings, reserving meeting space, conference rooms, lunch, and supplies, and maintaining the meeting room schedule.
  • Manage communication boards, ensuring important messages are displayed.
  • Manage employee birthday vouchers and support employee engagement activities.

Qualifications:

  • High School Diploma or equivalent
  • 2+ years of administrative support experience preferred
  • Excellent verbal, non-verbal, and written communication skills
  • Proficient in Microsoft Office products, phone systems, and computer systems
  • Excellent organizational skills with attention to detail
  • Ability to manage confidential information and fiscal responsibilities
  • Ability to multitask in a fast-paced environment
  • Business orientation/strategic mindset
  • Relationship building skills with all levels of management
