Job Overview

The **Elder Law Paralegal Specialist** plays a crucial role in the legal team, focusing on the meticulous preparation of documentation that details clients' financial assets, income streams, and essential legal paperwork necessary for **Estate Planning** and securing **Medicaid** eligibility. This position involves managing **Medicaid** applications and offering extensive support to attorneys, including daily scheduling, client communication, and meeting preparations to ensure the seamless execution of legal responsibilities.

Client Engagement: This role requires proactive communication with clients via various channels to schedule meetings, review and modify draft documents, and address inquiries. The paralegal may also coordinate with external entities such as the Department of Children and Families, CPAs, financial advisors, and insurance firms as required.

Issue Resolution: The paralegal is expected to promptly identify and resolve issues, demonstrating strong problem-solving capabilities.

Process Improvement: Suggestions for enhancing processes are welcomed to improve service quality, efficiency, and responsiveness to client needs.

Document Preparation: Responsibilities include drafting and revising legal documents, ensuring that drafts are completed within a specified timeframe, and preparing final documents for client execution.

Real Estate and Property Records: The role necessitates verifying property ownership, acquiring property descriptions from public records, recording deeds, and confirming necessary insurance coverage.

Client Meetings: The paralegal will facilitate initial meetings with clients to review final documents, address questions, and ensure proper execution of documents, escalating complex inquiries to attorneys as necessary.

Task Management: Regular updates and management of the firm's tracking system to monitor work progress and outstanding tasks are essential.

Additional Duties: Responsibilities may include scanning, conforming documents, and other tasks as assigned.

Qualifications and Skills:

  • An Associate's Degree or Certificate in Paralegal Studies from an ABA-accredited program.
  • A minimum of two years' experience in an administrative or secretarial capacity.
  • Outstanding client service and communication skills, both written and verbal.
  • Strong proofreading abilities, attention to detail, and organizational skills.
  • Familiarity with Florida Access for Medicaid applications and proficiency in Microsoft Office 365, including Word, Outlook, and Excel.
  • Ability to anticipate client needs to ensure preparedness.

This is a full-time position offering a competitive salary range and benefits, including paid time off. The work schedule consists of an 8-hour shift from Monday to Friday.
