Job Overview:
The role of the Clinic Receptionist I, under the guidance of the assigned supervisor, involves welcoming incoming patients to the clinic and conducting interviews with patients or their companions to gather essential information for the healthcare provider.

Key Responsibilities:
  1. Patient Interaction (65%):

    Greet patients upon arrival; follow established protocols to assess if immediate attention is required; collect personal details such as name, address, age, contact number, attending physician, and payment responsibility; register new patients and update existing patient records.

  2. Administrative Duties:

    Prepare billing tickets; retrieve and organize medical records for appointments; ensure that the latest notes are available in the patient's chart; request external records when necessary; maintain confidentiality; schedule and confirm appointments; follow up on no-shows.

  3. Financial Transactions:

    Determine payment methods, collect due payments, and complete insurance documentation for processing; issue receipts and balance daily financial records.

  4. Communication Tasks:

    Manage incoming calls; utilize paging systems as needed; prepare and send correspondence; schedule appointments; take messages; handle mail and packages; maintain inventory of supplies; perform additional clerical tasks as assigned.

  5. Reception Area Management:

    Ensure a professional atmosphere in the reception area.


Additional Responsibilities (20%):
  1. Follow-Up:

    Assist in obtaining further patient information, including referrals; implement collection strategies for outstanding balances; collaborate with the Clinic Business Office regarding any denials or rejections.

  2. Task Management:

    Complete assigned tasks on action lists.

  3. Scheduling Support:

    Assist in arranging diagnostic tests, outpatient procedures, and referrals as directed.

  4. Insurance Coordination:

    Follow up with insurance providers regarding authorization statuses.


Administrative Support (10%):
  1. Documentation:

    Draft and type correspondence for physicians and nurses; organize and file documents in medical records; manage medical record purging; input data into the system; process requests for patient information.

  2. Supply Management:

    Order necessary clerical supplies for the department.

  3. Maintenance Coordination:

    Communicate maintenance needs to the supervisor and initiate requests for services.

  4. Interpreter Services:

    Coordinate language interpretation services as required.


Flexibility Requirements (5%):

Must be available to work weekends and be willing to float to various clinic sites based on staffing needs; provide support services as necessary; perform other related duties as assigned by the supervisor within the required timeframe.


Qualifications:
  • Minimum of 2 years of clerical experience.
  • Availability to work weekends.
  • Willingness to work flexible hours, including shifts between 7 AM and 7 PM.
