Job Summary

We are seeking a highly organized and detail-oriented Executive Support Specialist to provide comprehensive administrative support to our executive team. The ideal candidate will have a strong background in executive support, excellent communication and interpersonal skills, and the ability to prioritize tasks and manage competing deadlines.

Key Responsibilities
  • Manage executive calendars, including scheduling appointments, meetings, and conference calls, and coordinating travel arrangements and accommodations as needed.
  • Prepare meeting agendas, materials, and presentations, and coordinate logistics for internal and external meetings, including room reservations, catering, and audiovisual equipment setup.
  • Screen and prioritize incoming calls, emails, and correspondence for the executive team, responding to routine inquiries and drafting responses on behalf of executives.
  • Draft, edit, and format documents, reports, presentations, and correspondence for the executive team, ensuring accuracy, clarity, and professionalism.
  • Provide administrative support for special projects, initiatives, and events led by the executive team, including research, data analysis, and coordination with internal and external stakeholders.
Requirements
  • AA/ Bachelor's degree or equivalent experience in business administration, communications, or a related field preferred.
  • Minimum of 5 years of experience in executive support, administrative assistance, or office management, preferably in a nonprofit or corporate environment.
  • Strong organizational and time management skills, with the ability to prioritize tasks and manage competing deadlines.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with diverse stakeholders.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.
