Position Overview

Key Responsibilities:

  • Manage the clinic's phone system and assist patients in scheduling appointments.
  • Input new patient demographic information accurately.
  • Schedule appointments in accordance with specific physician requirements.
  • Update existing patient records and manage changes as necessary.
  • Handle assigned tasks efficiently and keep up with updates via internal systems.
  • Communicate with patients regarding outstanding balances.
  • Route messages to physicians and medical assistants as needed.
  • Maintain professionalism and respect towards both patients and colleagues.
  • Support team members and contribute to a collaborative work environment.
  • Ensure punctuality and consistent attendance.
  • Be available for overtime work when required.
  • Adhere to the company's employee manual and maintain confidentiality in accordance with HIPAA regulations.

Qualifications:

  • High School Diploma or GED is required.
  • 1-3 years of scheduling experience, preferably in a healthcare setting.
  • Bilingual proficiency is essential.

Skills and Competencies:

  • Familiarity with medical terminology is preferred.
  • Strong communication skills, both oral and written.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, Access, PowerPoint).
  • Able to thrive in a fast-paced, multi-tasking environment.
  • Excellent organizational skills and attention to detail.
  • Ability to prioritize tasks effectively and work independently.
  • Understanding of the interdependencies between scheduling and other departments.

Physical Requirements:

This position involves working in an office environment, requiring prolonged periods of sitting, as well as some bending and stretching. The role may involve working under pressure and necessitates the use of a telephone and computer. Manual dexterity is required for operating office equipment.
