Overview

The Transplant Coordination Specialist plays a crucial role in the organ recovery program, overseeing the transplant phases of care from the moment an organ is offered to the completion of the transplantation process. This includes both outpatient and inpatient care.

The specialist will manage the organ offer process, serving as the primary liaison for all organ offers. This position will assist the transplant medical and surgical teams with necessary evaluations, oversee logistics related to organ retrieval, support data entry for various research initiatives, perform preservation tasks, and maintain communication for ongoing cases. This role ensures the provision of safe, high-quality patient care in accordance with hospital policies and relevant state and federal regulations.

Key Responsibilities

  • Oversee the transplant phases of care for both adult and pediatric organ recovery programs.
  • Coordinate all aspects of cadaveric organ donors for heart, lung, liver, kidney, pancreas, and intestine retrievals in collaboration with the Organ Procurement Agency.
  • Act as the primary contact for organ retrieval, maintaining communication with the transplant team when donor organs are available.
  • Review candidate waitlists and assist in the selection of recipients, coordinating necessary arrangements for their admission.
  • Inform relevant hospital departments about scheduled transplant surgeries.
  • Ensure that appropriate blood and tissue specimens are sent for cross-match testing and communicate results to the surgical team.
  • Coordinate arrangements for imported organs in collaboration with the Organ Procurement Agency.
  • Communicate with the on-call coordinator at the end of each shift.
  • Guarantee that patients receive safe, quality care through adherence to established policies and procedures.
  • Maintain accurate electronic medical records by following established workflows.
  • Collaborate with leadership across departments to support transplant patient care delivery.
  • Engage with the Manager of Quality, Safety, and Compliance on transplant quality assurance initiatives.
  • Work closely with Stanford Health Care leadership to support clinical, quality, regulatory compliance, and research objectives.
  • Travel may be required for organ recovery, and extended hours may be necessary to ensure continuity in this critical process.

Qualifications

  • Bachelor's Degree in a relevant field from an accredited institution is preferred.

Experience

  • Five (5) years of progressively responsible experience in a related field, or
  • Three (3) years of related experience with a Bachelor's Degree.

Skills and Knowledge

  • Exceptional communication abilities.
  • Familiarity with organ transplant and recovery standards and practices.
  • Capability to manage multiple complex transplant-related processes.
  • Ability to think critically and adapt quickly in time-sensitive situations.
  • Understanding of state and federal laws regarding organ procurement.
  • Knowledge of organ retrieval protocols and regulations.
  • Proficiency in preparing organized and clear documentation.
  • Ability to collaborate effectively with individuals at all organizational levels.
  • Familiarity with the regulations and processes of the United Network of Organ Sharing and Organ Procurement Organizations.
