Job Description

The University of Maine at Augusta is seeking a highly skilled and organized Administrative Specialist CL2 to join our Veterinary Technology Program team. As a key member of our team, you will provide administrative support to our program, ensuring the smooth operation of our daily activities.

Responsibilities
  • Receive and process invoices, check requests, and other forms electronically.
  • Create and maintain documents and reports using Microsoft Office and other software.
  • Maintain confidential student and patient records.
  • Monitor inventory and order supplies.
  • Track expenditures and budgets.
  • Schedule and plan meetings, events, and offsite course learning.
  • Staff the front desk and answer phone calls.
  • Provide administrative support, including screening calls, visitors, and mail.
  • Maintain office equipment and facilitate service orders for lab equipment.
  • Provide customer service to the University community and outside vendors.
  • Troubleshoot technological problems and submit work orders/tickets for support services.
Work Schedule

Monday-Friday, 8:00 a.m. - 5:00 p.m. Occasional additional evening and/or weekend hours may be required.

Wage and Benefits

The starting rate is $18.22 for a new hire or the appropriate transfer rate for a current employee within the ACSUM collective bargaining unit.

Qualifications
  • High School diploma or equivalent education and job-related experience, including two years of administrative support experience.
  • Accounts payable experience.
  • Experience with data entry and web-based programs.
  • Strong organizational skills and attention to detail.
  • Excellent written and oral communication skills.
  • Solid math and problem-solving skills.
  • Positive attitude, self-starter, ability to work independently and as part of a team.
  • Strong computer skills and experience using spreadsheet software.
  • Customer service experience.
  • Ability to work on-site.
Preferred Qualifications
  • Associate's degree.
  • Accounting skills and experience.
  • PeopleSoft, SciQuest, and/or other ERP experience.
  • Familiarity with veterinary medicine and comfort working around animals.
