North Oaks Communities, a distinguished Continuing Care Retirement Community dedicated to exceptional hospitality, is in search of a full-time Activities/Administrative Assistant to enhance our Independent Living programs. This role is pivotal in delivering administrative assistance to the Community Life Services department while effectively scheduling, coordinating, planning, and promoting various activities and excursions.
Key Responsibilities:
1. Develops, duplicates, and disseminates monthly and weekly activity calendars.
2. Prepares function sheets and catering requests for resident events, ensuring distribution to relevant departments.
3. Conducts research and organizes group outings, calculates associated fees, communicates details to residents, and accurately completes necessary billing documentation for the accounting team. Maintains a comprehensive trip log and manages reservations, collaborating with the Transportation Coordinator.
4. Participates in Resident Association Activity Committee Meetings, assisting in the planning of trips and activities, including book clubs and special events. Coordinates the ordering, preparation, and promotion of weekly movie screenings.
5. Promotes all events and excursions by creating flyers, sign-up sheets, and updating the internal television system and community bulletin boards.
Additional Responsibilities:
1. Answers phone inquiries from residents and takes appropriate actions.
2. Accompanies residents on outings as required.
3. Assists with programs and events as needed.
4. Attends training and educational sessions as assigned.
5. Prioritizes tasks as directed by the supervisor.
6. Executes specific duties and responsibilities as assigned by the Community Life Services Director, providing coverage in the director's absence.
7. Adheres to all safety protocols and regulations.
8. Ensures HIPAA compliance by following established policies and procedures to maintain the confidentiality of protected health information.
9. Complies with OIG regulations by adhering to federal and state laws and guidelines.
10. Engages with residents and colleagues in a courteous and respectful manner.
Qualifications:
1. Ability to comprehend and follow instructions in English, communicate effectively, and perform basic arithmetic.
2. Experience working with elderly populations is preferred.
3. Familiarity with multimedia technology is advantageous.
4. Proficient in Word and Desktop Publishing Applications.
5. Strong organizational skills are essential.
6. Compliance with North Oaks' immunization requirements is mandatory.
Physical Requirements/Working Conditions: Must be capable of collaborating with others to set up events, which may involve lifting, bending, stretching, and using a step stool. Ability to lift up to 30 lbs. is required; must be able to assist residents physically with boarding buses, sitting, standing, and walking. Good visual and auditory acuity is necessary, along with effective verbal communication skills. Exposure to communicable diseases, blood, and body fluids may occur. May also encounter cleaning chemicals and unpleasant odors.
