Job Summary

The Financial Management Specialist is responsible for performing accounting functions and financial management reporting in conformance with generally accepted accounting principles. This role involves compiling financial information, processing journal entries, reconciling reports and financial data, and supporting both accounts payable and accounts receivable as needed.

Key Responsibilities
  • Compile financial information and assist in the preparation of reports.
  • Prepare monthly, quarterly, and annual journal entries.
  • Reconcile general ledger accounts, including bank accounts, investments, endowment accounts, asset and liability account balances.
  • Reconcile sub-ledgers to the general ledger and resolve differences.
  • Prepare the entry to record monthly credit card charges to expense accounts.
  • Submit the monthly sales tax payment and file the monthly sales tax return.
  • Support federally funded billing and reconciliation.
  • Provide information to faculty, staff, students, and individuals or organizations outside of the university; explain accounting transactions; resolve accounting issues and discrepancies.
  • Support day-to-day record keeping, organization, reporting, and banking tasks.
  • Perform accounting functions of a varying and difficult nature.
  • Assist with the proper filing of various government forms.
Accounts Payable
  • Receive and organize statements from vendors; verify vendor files for payment of any invoices listed outstanding and contact vendors regarding any outstanding invoices for verification of unpaid, lost, or billed invoices.
  • Process vendor invoices for payment by verifying transaction information; scheduling and preparing disbursements; obtaining payment authorization.
  • Contact vendors to clarify any questionable invoice items, prices, or receiving signatures, contact various departments for proper information and data regarding invoice payments.
  • Maintain accounts payable records.
  • Work with Purchasing to pay invoices against Purchase Orders.
Accounts Receivable
  • Download daily bank activity and ensure that all funds received have been recorded in the Accounts Receivable subledger.
  • Receive and log cash bags containing checks and back-up documentation for deposit.
  • Deposit checks via desktop deposit machine and record receipts into the Accounts Receivable subledger.
  • Compile activity from various online platforms and reports to record the receipts in the Accounts Receivable subledger.
  • Contact various departments to request missing information and to clarify documentation.
  • Compile monthly sales tax activity used to complete Sales and Use tax returns.
  • Maintain accounts receivable records.
Requirements
  • Bachelor's degree in Accounting/Finance or related field.
  • Able to perform duties independently with minimal supervision provided.
  • Developed knowledge of generally accepted accounting principles (GAAP).
  • Strong analytical and problem-solving abilities.
  • Ability to communicate with all levels.
  • Able to organize work, engage in a variety of tasks simultaneously, and consistently meet deadlines.
  • Able to perform duties independently.
  • Able to draft reports and business correspondence.
  • Strong attention to detail.
  • Knowledge of budgeting and expense control.
  • Computer skills: Microsoft Office applications.
