We are seeking a highly skilled and experienced Project Manager/Administrative Assistant to join our team at Quinn Sales Inc. in Gastonia, NC.
Job Summary:The successful candidate will provide administrative and clerical support to our Project Managers, ensuring the smooth operation of our construction projects. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities:- Provide general administrative support to Project Managers, including processing contracts, COI's, work orders, purchase orders, and submittals.
- Assist in the coordination and management of basic and routine contract administration, proposals, and subcontracts.
- Develop and implement systems and processes to manage and maintain all project-related documents, including pay-items, meeting minutes, and project status updates.
- Compile monthly billings from project managers and prepare invoices in approved format.
- Maintain project folders, including a list of required documentation, both electronically and in hard copy.
- Prepare Installer Warranties and assist with requests and submittals of Manufacturer Warranties.
- Track and process Change Order Requests (COR's) for all ongoing projects.
- Serve as liaison in obtaining required documentation from subcontractors and vendors.
- Follow up with GC/owners on payment status and elevate payment issues as needed.
- Obtain and provide additional support for project billings, including waivers, lien releases, and other contractual forms.
- Prepare job setup request forms for the accounting system.
- Support Finance as needed for bid bonds, P&P bonds, and project-related reporting.
- 3+ years of experience in a Construction Administration role.
- Strong use of Microsoft Office (Word, Excel, Project, etc.).
- Ability to multitask and work efficiently in a fast-paced environment.
- Knowledge of computer project management software and hardware.
- Determination and persistence.
