Job Summary

Barnard College seeks a highly skilled and experienced Maintenance and Trades Manager to oversee the daily activities related to all mechanical and building trade functions of the campus. The successful candidate will be responsible for managing a team of supervisors, building superintendents, and unionized trade workers, ensuring that all work is completed efficiently and effectively.

Key Responsibilities
  • Oversee the supervision of the daily activities related to all mechanical and building trade functions of the campus.
  • Manage two supervisors (MEP and Trades) to whom the trades' staff report.
  • Provide work direction to contract employees such as plumbers, electricians, fork truck mechanics, fire alarm vendors, elevator maintenance vendors, and others.
  • Complete weekly payroll and track overtime.
  • Ensure adequate coverage for shifts.
  • Ensure that work orders are efficiently and accurately assigned, executed, assessed, and closed out.
  • Use all available technical tools and data to proactively and continuously improve the work-order process.
  • Work closely with all Facilities' personnel responsible for client service to deliver seamless, efficient responses and repairs.
  • Closely monitor work order system requests.
  • Determine whether problems can be resolved in-house, set priorities, assign employees to specific jobs on a daily basis, and troubleshoot workmanship problems.
  • Inspect work for completeness; give feedback and technical advice to employees; visit the various work sites daily to ensure employees are productively engaged in the proper operation of equipment and building systems.
  • Ensure that requestors are informed of the status of their work and maintenance request.
  • Administer employee policies, practices, procedures, and work rules appropriate for the department; monitor individual performance and take corrective action including discipline, as needed.
  • Screen prospective employees and make recommendations for employment or termination of employees within their area of responsibility.
  • Develop and manage various service contracts (HVAC, Electrical, Water Treatment, etc.) and participate in the decision making around expanding, changing, and renegotiating services contracts as business needs dictate.
  • Make recommendations to the Director of Maintenance and Trades in the development and implementation of operational policies and procedures.
  • Maintain and update maintenance database.
  • Maintain up-to-date records for all local, state, federal, and insurance inspections, including FDNY inspections.
  • Inspect, inventory, and assess physical conditions of all on- and off-campus buildings and mechanical systems.
  • Conduct daily campus and building inspections.
  • Identify, recommend, and schedule any necessary repairs, replacement, and/or small remodeling projects in conjunction with the Capital Projects department.
  • Prepare quality assurance/quality control and improvement plans for the department and maintain preventative maintenance schedules for HVAC and other equipment.
  • Coordinate Universal Waste disposal on a semi-annual basis or as needed.
  • Contribute to the development and regular updates to a preventive maintenance program for all mechanical equipment.
  • Organize manufacturer's suggested systems and parts checks on all facility equipment into an ongoing preventive maintenance schedule.
  • Work to coordinate internal and external preventive maintenance resources to provide efficient scheduling, targeted expertise, and cost-effective initiatives.
  • Assist the Director of Maintenance and Trades in the preparation of the annual capital repair and replacement and budget and the negotiation of annual service agreements.
  • Prepare and anticipate cost, labor, supplies/equipment, and time analysis for repairs, replacement, and/or small remodeling projects.
  • Determine the need for outside contractors and assist in preparation of bid specifications and the selection of contractors.
  • Serve as liaison with contractors and review work of contractors for conformity to standards.
  • Inspect ongoing work for conformance to codes, standards, and other requirements.
  • Routinely check to assure employees are practicing prescribed safety procedures and regulations in the use of materials, equipment, and tools.
  • Develop an annual safety training program for all Trades personnel and attend required training sessions to improve work methods, knowledge of equipment, supplies, and safety methods.
  • Control shops' inventories and issue and control specialized tools.
  • Make recommendations for purchase of specialized items, tools, and equipment.
  • Submit requests and requisitions for supplies and equipment.
Requirements
  • Baccalaureate degree or equivalent experience relating to the mechanical/structural trades and/or building construction within an educational or similar institution.
  • A working knowledge of at least three trades is required.
  • Minimum five years of progressively complex facilities management experience which must include the supervision of facilities operations and repair and maintenance in the areas of mechanical, HVAC, electrical, and plumbing systems as well as masonry, paint, locksmith, carpentry, and general service mechanics.
  • Must be willing and able to work occasional evenings and weekends, as required.
Preferred Qualifications
  • Experience managing union-represented staff strongly preferred.
  • Outstanding project management skills and specialized knowledge of building maintenance and/or construction along with an understanding of plumbing, electrical, HVAC, chemistry, and inspection, testing, and maintenance procedures.
Physical Requirements

Able to kneel, crawl, bend, stoop, push, pull, lift, and carry objects up to 50 lbs.
