Responsibilities include welcoming clients and visitors, managing multi-line phone systems, coordinating conference room bookings, and maintaining employee directories. You will also support office staff with various front desk tasks, including scheduling and acting as a liaison with department heads. This role reports directly to the Office Manager.
Key Responsibilities
- Warmly greet and assist guests upon their arrival
- Guide all visitors throughout the office
- Handle, filter, and redirect incoming calls
- Ensure the reception area is organized and equipped with necessary materials (e.g., applications, writing instruments, and forms)
- Provide essential information in person and through phone/email communications
- Receive, categorize, and distribute daily mail and deliveries
- Uphold office security by adhering to safety protocols and managing access
- Procure front office supplies and maintain inventory levels
- Manage calendars and arrange meetings efficiently
- Bilingual proficiency in English and Spanish
- Experience with case management software is highly desirable
- A minimum of one year in a legal environment
- Proactive and resourceful in problem-solving
- Strong customer service orientation
- Familiarity with Microsoft Excel, Google Sheets, and CLIO is preferred
- Availability for weekend shifts is required
- Full-time schedule from 11am to 8pm
