Key Responsibilities:
Strategic Assistance:
Serve as a key partner to the executive team, understanding their objectives and contributing to their success.
Prepare high-level presentations, reports, and documents for executive meetings and board discussions.
Calendar Coordination:
Oversee and prioritize the executives' schedules, arranging meetings, appointments, and travel logistics.
Ensure optimal time allocation for strategic initiatives and priorities.
Email Management:
Monitor and respond to correspondence on behalf of the executives.
Draft and proofread various communications, reports, and presentations.
Facilitate effective dialogue between executives and both internal and external stakeholders.
Travel Coordination:
Organize domestic and international travel plans, including flights, accommodations, and transportation.
Prepare detailed travel itineraries to ensure smooth travel experiences.
Meeting Management:
Coordinate executive meetings, prepare agendas, and ensure all necessary materials are ready.
Attend meetings to take minutes and follow up on action items as needed.
Project Coordination:
Assist in the planning and execution of initiatives and projects led by the executive team.
Monitor project timelines and deliverables to ensure timely completion.
Collaborate with internal teams and external partners to facilitate project success.
Document Organization:
Maintain and organize both digital and physical files for easy access to essential documents.
Ensure all documentation is current and adheres to company policies.
Expense Oversight:
Process expense reports and invoices, ensuring accuracy and compliance with company standards.
Manage the executives' budgets and financial transactions effectively.
Confidentiality Assurance:
Uphold the highest standards of confidentiality regarding sensitive information and documents.
Project Support:
Provide assistance with special projects and initiatives as directed by the executive team.
Conduct research and analysis to support strategic decision-making.
Relationship Development:
Build and maintain strong relationships with internal and external stakeholders on behalf of the executives.
Represent the executives with professionalism in all interactions.
Team Collaboration:
Collaborate closely with other administrative team members to ensure cohesive support across the organization.
Actively participate in team meetings, share knowledge, and assist colleagues as needed.
Qualifications:
A bachelor's degree is preferred.
Demonstrated experience as an Executive Administrative Assistant or in a similar capacity, ideally within a technology-focused organization.
Outstanding organizational and multitasking skills.
Strong attention to detail and problem-solving capabilities.
Proficiency in Google Suite and calendar management tools.
Excellent verbal and written communication skills.
High level of professionalism and discretion.
Ability to work independently and adapt to shifting priorities.
