Job Summary

Volkert Inc seeks an experienced Contract Administrative Coordinator to support its Program Management division in Austin, TX. The ideal candidate will have a strong background in contract administration, billing and invoicing, accounts receivable and payable, project creation and management, and administrative support.

Key Responsibilities and Requirements
  1. Contract Administration: Assist project managers with document preparation, monitor new contract setup, and ensure timely execution.
  2. Administrative Support: Maintain office supplies, coordinate ordering and delivery, prepare correspondence, memos, reports, and supporting documents, and provide data entry support.
  3. Billing and Invoicing: Develop and distribute invoice statements, collect direct cost receipts, and track outstanding balances.
  4. Accounts Receivable and Payable: Track monthly accounts receivable and make prompt contact with clients to ensure payment.
  5. Project Creation and Management: Assign company project numbers, obtain insurance certificates, and close out projects.
  • High School education or equivalent with 3-5 years of administrative support experience.
  • Professional office etiquette, strong customer service, accounting knowledge, proficiency in MS Office suites, and ability to work in financials including accounts payable and receivables.
  • Self-motivated, accountable, exercises initiative, communicates effectively, and multitasks in a team environment.
Compensation and Benefits
