Job Description

Job Title: Team Administrative Assistant for the Justin Lucas Group

Job Overview: We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at the Justin Lucas Group. The ideal candidate will be responsible for managing client relationships, coordinating transactions, and supporting marketing efforts.

Responsibilities:

  • Manage the Real Estate transaction process for buyer, seller, and renter clients from start to finish, acting as a point of contact for attorneys, inspectors, other realtors, and lenders.
  • Manage contracts and disclosures with clients via DocuSign and upload documents to internal databases (DMS - Deal Management System).
  • Manage contacts and tasks in the CRM (Client Relationship Management), ensuring accuracy and completeness.
  • Keep track of important dates and manage the team calendar (listing, open houses, contracts, Attorney/Inspection review, appraisal, mortgage contingency, closing), print critical documents for final walkthrough and closing, and purchase closing gifts for clients.
  • Schedule and coordinate buyer tours, track property visits, and manage Top Agent Network buyer profiles/searches.
  • Order photography and floor plans, meet with photographers at properties to ensure high-quality images, create & manage MLS (Multiple Listing Service) listings, add professional photos to MLS, and create & order custom brochures.
  • Execute social media marketing campaigns and update the company website and social media platforms (Instagram, Facebook, Twitter, LinkedIn, Vimeo, YouTube, and Google)
  • Organize and help facilitate client appreciation events and create/send direct mail to past, current, and prospective clients.
  • Facilitate and support business development efforts.

Requirements:

  • High school diploma or equivalent; associate or bachelor's degree in business, marketing, or a related field is a plus.
  • Excellent organizational, time-management, and communication skills.
  • Proficient in Microsoft Office and Google Products.
  • Familiarity with social media platforms and digital marketing techniques.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Valid driver's license and reliable transportation
