Position Summary:

The Procurement Specialist plays a crucial role in enhancing purchasing and financial accountability for Covenant Health. This position focuses on capital procurement, service contracts, and maintenance agreements. The ideal candidate will handle sensitive business information and must possess the ability to work efficiently with a keen attention to detail. The Procurement Specialist will manage both routine and special projects across the entire Covenant Health network.

Key Responsibilities:

  • Provide support to various Covenant Health entities in acquiring capital equipment, non-contracted supplies, maintenance agreements, and other services.
  • Collect and organize customer requirements to facilitate bid requests and quotations.
  • Engage with vendors to ensure a clear understanding of customer needs.
  • Solicit bids, proposals, and quotations for assigned purchases and projects.
  • Analyze bids to identify the most advantageous offers.
  • Advise management on preferred vendors and bids.
  • Assist requesters in developing Purchase Requests by providing quotes and requisition details.
  • Maintain accurate records of bids, negotiations, and awards.
  • Ensure ethical practices are upheld during the solicitation of proposals.
  • Negotiate with suppliers and manage vendor applications and credit accounts.
  • Perform administrative tasks related to project coordination, including reviewing purchase requests, preparing purchase orders, and managing vendor communications.
  • Reconcile discrepancies in purchase orders, invoices, and receipts.
  • Follow up on open orders and collaborate with accounting to resolve outstanding issues.
  • Ensure compliance with state and federal guidelines when grant money is involved.
  • Maintain organized files for purchasing and contract documentation.
  • Oversee equipment under maintenance contracts to ensure accurate coverage.
  • Audit vendor invoices and contracts to prevent coverage gaps.
  • Ensure P-Card transactions comply with policy and are submitted to Finance with proper approvals.
  • Engage in local travel as required.
  • Adhere to policies, procedures, and safety standards while participating in quality improvement initiatives.
  • Perform additional duties as assigned.

Qualifications:

Minimum Education: No specific educational requirements; however, a combination of formal education and relevant work experience is preferred. Candidates with an Associate's degree in a business-related field from an accredited institution may be given preference.

Minimum Experience: No specific experience required; preference may be given to candidates with five years of related experience. Proficiency in computer skills is essential.

Licensure Requirement: A valid Tennessee driver's license and state-mandated minimum insurance coverage are required. Candidates must meet Covenant Health's driving record standards throughout their employment.
